Front Line "PR" for the Company so must be well groomed, well presented, good communicator with
clear,concise, warm and friendly manner to visitors, callers and colleagues.
Primary responsibility to ensure maintenance of Reception, answering calls, putting calls through to recipients and taking messages where necessary.
Greeting all visitors to building, signing them in, allocating passes as appropriate, guiding to meeting rooms, providing refreshment, locating their meeting hosts - ensuring guests receive prompt and courteous attention always.
Maintaining meeting rooms (clearing when meetings over if necessary), re-stocking with company literature etc
Maintenance of meeting room diary system (on-line) to ensure no double bookings etc
Security - of building/visitors during day. Opening up building in the am or closing in the pm (dependent upon which shift being worked)
Responsible for the appearance of Reception - keeping tidy and stocked with company literature
Utilising customer database to quickly and efficiently identify customers (training given)
Taking in and checking deliveriesGeneral "housekeeping" and office maintenance duties in conjunction with Line Manager and Co-Receptionist
Hosting welcome induction programmes for new staff
General admin assistance which can be provided from a Reception base e.g. maintenance and updating of internal phone lists, typing, acting as RSVP point for invitations, maintenance of guest lists etc, motor fleet paperwork maintenance
Assisting with other department's admin duties/cover for holiday
Ordering taxis, couriers etc.
Fire Warden duties for Reception and surrounding area
Awareness of Health & Safety necessities as appropriate
Qualified First Aider - Training given
Absence cover for Mail Room - opening post, franking post and packing parcels for courier collection
Hours Mon-Friday 9.30am - 6.30pm shift which changes when an evening event is on to 10.00am - 7.00pm
