Location: The Glasshouse International Centre for Music
Working hours: 28.8 hours per week. The role may include some evening & weekend work.
Salary: SCP 24, £24,073 pro rata, per annum
Contract: Fixed term until 31st August 2024
About The Glasshouse International Centre for Music
We are an international music centre based on the banks of the River Tyne. We are a unique venue where artists from across the
world perform and audiences from a wide range of backgrounds come to hear, make, and enjoy all types of music.
We support local people to be creative, to develop a passion for music and put music at the heart of communities. Our artist
development programme provides local artists with the opportunities they need to develop a career in music. We support young
people to make music in our building and in the wider community through programmes such as In Harmony Newcastle Gateshead.

About you
Are you self-motivated, happy working in a team environment and flexible enough to adapt to a changing environment? If this sounds
like you, here are some specific types of experience that will help you hit the ground running.
You must have proven experience of:
* Relevant professional experience of planning and coordinating events and / or educational programmes
Skills & knowledge:
* Safeguarding in education contexts
* Good organisational skills and ability to manage own workload
* Excellent verbal and written communication skills
* Skills and confidence in communicating with people from a diverse range of backgrounds
* Effective problem-solving skills
* Ability to work to deadlines and within budgets
* Able to remain calm and clear thinking under pressure
* Good level of IT skills – including Microsoft Outlook, Word, Excel and Access
* Some knowledge of how an orchestra is set up, and orchestral instruments and how they work e.g. tuning strings and fitting
reeds
Qualities:
* An interest in music and education
* Responsive, flexible, ‘can-do’ working style
* Excellent initiative, resourcefulness
* Commitment to teamwork and collaboration
It also helps if you have:
* Experience of working in an arts setting
* Experience of using Artifax, Tessitura and Exchequer software systems
* Experience of marketing, including online and social media
* Experience of processing child licensing applications and/or performance regulations
* Experience of coordinating budgets

About the role of In Harmony Coordinator at The Glasshouse
Make Music is the name for all The Glasshouse ICM’s creative learning classes, groups, ensembles, training programmes and
activities for schools and music educators. People of all ages, experience levels and backgrounds are encouraged to make music in
an environment, and with the support, that’s right for them.
Make Music: Adults and Families classes, choirs, special masterclasses and workshops develop creativity and passion for music in
accessible and welcoming groups. People can access these in our building, join live online, or digitally on demand.
Make Music: Young People is home to activities, which support young people from age 4 – 25 develop as musicians, producers and
music leaders. From foundation courses to our Centre for Advanced Training, and work with schools and colleges inspirational
teaching and unique performance opportunities develop skills and spark a lifelong love for music.
Through all this we work with visiting artists and in collaboration with Music Hubs and other partners to develop young musicians
and support personal and social outcomes for young people in the North East.
In Harmony Newcastle Gateshead In Harmony Newcastle Gateshead is part of a national initiative that aims to inspire and transform
the lives of children through community-based orchestral music-making. This immersive programme improves the life chances of
children and young people in the West End of Newcastle, by increasing confidence, wellbeing, resilience, and educational
attainment. By working in partnership, In Harmony helps build stronger communities, generating pride, hope and aspiration.
This role will work closely with the In Harmony Manager, Musicians and Tutors to coordinate all aspects of the programme and any
after school activities. The role will be focussed on administrative planning, coordination, pastoral care, and overseeing the
activity of the programme, including performances and exams.
Your responsibilities:
Overall
* To coordinate In Harmony regular activity, events, resources, and assets so that outcomes and relevant targets are met, and
young musicians benefit from a high quality, inclusive music programme.
Programme Coordination
* Coordinate programmes, which engage diverse children and young people.
* Liaise on behalf of The Glasshouse ICM with pupils, parents, carers, Tutors and visitors.
* Listen to the needs of children and young people and families, so that this programme serves their needs.
* Contribute to programme planning sessions and other team meetings as required.
* Work with the In Harmony Manager and other team members on programme development.
* Implement activity plans and coordinate all programme communications, activities, events, and resources.
* Support the creation of programme resources (e.g., teaching resources, guidance, session plans, safeguarding information).
* Represent the programme at cross-organisation meetings as required.
Programme Logistics
* Provide administrative support to In Harmony activities, and events.
* Support the smooth running of sessions, including ensemble set ups, IT and PA requirements, instruments and accessories.
* Book travel and prepare travel itineraries.
* Prepare schedules and itineraries as required.
* Support the programme Manager to make sure that budgets are monitored effectively.
* Support efficient financial administration, including raising invoices and purchase orders; ordering and collecting petty cash;
purchasing resources; tracking spend.
* Maintain systems and processes for effective programme management (organisational software including but not limited to
Tessitura, Artifax, Exchequer).
* Organise the running of the music library system, including printing and collation of sheet music and resources.
Health & Safety
* Maintain a high level of safeguarding and pastoral care for all In Harmony and WNSO students.
* Create programme risk assessments, for one-off, out of school activities.
Monitoring and Evaluation
* Contribute to all aspects of monitoring and evaluation including reporting
* Support the In Harmony Manager in monitoring and evaluation
General
* Attend regular programme or planning meetings as required
* Accept appropriate individual responsibility for the observance, promotion and implementation of Safeguarding, Health & Safety,
Customer Care, Equality and Diversity, Dignity at Work and other policies with the Trust
* Undertake other duties appropriate to the post and in line with the needs of the organisation
