About the role:

The Global Corporate Maintenance Solutions (GCMS) unit in Belfast was established in 2015 as an innovative offering to help our clients efficiently manage their legal entities and to ensure compliance with their annual compliance obligations globally, as well as implementing large multi-jurisdictional changes to their entities.

To help support our expanding offering we are looking for a company secretary to join our highly regarded team at Baker McKenzie Global Services, Belfast. We work with a wide range of clients in the US, Europe, and Asia Pacific. Our local legal and business knowledge, combined with our practiced fluency in cross-border services, makes us the first-choice firm for the world's leading companies.

The GCMS unit works with our Corporate Reorganizations teams across a number of offices. The unit is continuing to grow, and we need to be able to support a rapidly increasing number of global clients.

About the role:

As part of this role, the successful candidate will:

Responsibilities:

  • Coordinate and project manage legal aspects of the provision of corporate maintenance services and be responsible for technical quality. This will include working with local legal experts around the world to manage corporate maintenance deadlines for our clients' entities globally, managing multi-jurisdictional changes and developing know how and templates in this area, advising clients on any compliance issues identified by local legal experts and working with local experts to advise best course of action.
  • Act as the key client contact on GCMS projects as required and be responsible for managing the client relationship in conjunction with the instructing office.
  • Reviewing and signing off client compliance reports and ensuring any escalations are appropriately raised with the client teams.
  • Supporting with minute taking.
  • Work with local legal experts to provide clients with notifications of changes to company law, which affect corporate maintenance obligations.
  • Provide legal training and advice to corporate maintenance teams across the Baker McKenzie network, external local counsel, and clients.
  • Support with the training and development of junior GCMS team members.
  • Maintenance of our legal entity management system BM Online and other systems, when necessary.
  • Work with the GCMS Senior Manager to refine process mapping, efficiencies, and best practice on an ongoing basis; facilitate the embedding of new processes across the Group; refine process guidance and communicate across the network as appropriate.
  • Work with the GCMS team to review and advise on draft and final client invoices.
  • Contribute to pitches and client proposals, assist with demonstrations, and provide the legal advice and context as required during the sales process.
  • Develop and maintain strong professional relationships with key internal and external stakeholders and promoting our offering.

Essential Criteria:

To be successful in this role you will need:

Skills and Experience:

  • A qualified company secretary with excellent academic credentials (2:1 or above)
  • Excellent commercial approach.
  • Relevant experience either working in a law firm or within a Company Secretarial team, or in the management of legal entities.

Technical & Personal Skills:

  • Maturity and ability to liaise with people at all levels of the Firm, and to represent the Firm externally to clients and the wider market.
  • Excellent communication skills.
  • Exceptional attention to detail and a strong "client first" approach to service.
  • Ability to managing tight deadlines and see tasks through to the end.
  • Tech savvy and keen to learn new systems and technologies.
  • A positive team member and active contributor in a team environment.
  • Excellent organisational, prioritisation and problem-solving skills.
  • Commercially astute.
