The role will work with the existing Coordinator and oversee execution of administrative aspects of the Inspection Body QM and ensure the quality and planning of the Inspection Workbook generation required for Pipelines, Structural & Pressure Systems. They will also be responsible for execution of administrative aspects related to Integrity Team.
This position is a Monday-Friday role based in our Norwich office.
Key Responsibilities Include:
Planning:
- Liaising with the planning & Integrity teams to ensure resources as required by inspection teams offshore are available.
- Responsible to follow an annual inspection plan from inspection due dates, identifying appropriate inspection techniques, as advised by the ITL/PIE/SIE.
- Mobilisation of Third Party inspection teams and equipment from subcontractors.
- Tracking hired equipment from vendors and management of Perenco hardware such as laptops, cameras, NDT equipment, etc.
- Responsible for updating the Problems and Deviation Tracker for offshore movements.
Coordination:
- Oversee the preparation of work scopes for offshore teams, in line with the current Inspection Plan, ensuring a hardcopy (where possible) and electronic copy of work scopes are available in good time prior to a team visit to an installation. Keeping the electronic copy of works copes current.
- Maintain regular communication with the relevant Vendors to ensure resources are available on the assets when required, both scheduled and ad hoc.
- Ensure a daily report of activity is issued detailing outstanding scopes.
- Ensure a daily timesheet is issued detailing works details.
- Ensure that End of Trip reports are received from each of the Inspection Teams and filed accordingly.
- Technical clerk duties, including Maximo and Tim Updates and administration.
Cost Control
- Offer support to the Cost Control Tech Clerk and ensure the below are completed: -
- Ensure suppliers provide services according to contracts or quotations (as applicable)
- Issue the PRs according ITL, PIE and/or SIE indications.
- Follow the complete approval process of PRs and POs
- Communicate the PO references to suppliers, once approved.
- Review Timesheets vs ATS/Entrees records
- Review Invoices and clarify overspends.
KPI’s
- Delivery monthly KPI reports on logistical progress and update the Logistics Register as a record for inspection department and management information.
- Assist ITL with compiling information for the KPI report sent to management as required.

- Ensure annual delivery plan of all Work packs.
- Ensure Maximo / Planning implementation of Adhoc Projects.
- Interrogation of Maximo, EDMS and TIM.
- Ensuring Report Processing.
- Ensure asset registers are updated daily.
- Workbook creation for both yearly planned and adhoc inspections for the Inspection Teams.
- Additional ad-hoc technical projects may be required as needs & workload in the wider PUK Team dictates.
Key Requirements Include:
Qualifications/Experience
- Oil & Gas experience or knowledge of offshore inspection process is desirable.
- Proficient in IT toolkit including MS Windows, Outlook, Word, Excel, Adobe Acrobat/Bluebeam
- Knowledge of SAP, Maximo and experience using data bases
- Good communication skills both verbal and written.
- Attention to detail, and the ability to work methodically through problems as they arise and complete tasks in timely fashion.
- Good team working skills.
- Requirement to learn interdepartmental skills as the business requires.
