Purpose and Key Responsibilities:
The IT & Data Analytics Admin Officer will provide a wide range of first-line IT support and Data Analytics Administrative support to the charity. This includes supporting the management team in providing Data Analytics reports, general administration duties, and being the main point of contact for several external providers, including our third-party IT support provider.
This is a part-time role, 28 hours, 4 days per week.
Your Roles & Responsibilities:
Onboarding and Exit Processes:
- Supporting the Head of People with the onboarding and exit process of staff members, ensuring company equipment is set up and retrieved.
- Ensuring all staff complete the Company IT Equipment form as part of the onboarding induction process.
Data Analytics:
- Analysing data and identifying trends to inform policy.
- Collating monthly summary data reports pertaining to food and financial donations and unique visitor numbers or bespoke reports as and when requested.
- Providing board reports pertaining to trends of the above and other HFB-related businesses.
- Managing the data collection system and managing all queries and set-ups for the Trussel Trust database used by all food banks.
- Managing and analysing the volunteer data on the Assemble platform.
IT First Line Support:
- Provide initial first-line IT support, such as resolving issues and liaising with our IT support provider when required.
- Managing company software applications.
- Ensure the asset register is kept up to date.
General Administration Support:
- Provide the charity with administrative support, including a wide range of data entry tasks, resource research and procurement, maintenance of policy schedules as well as day-to-day administrative tasks such as printing, photocopying, and stationery ordering.
- Respond to administrative requests from the team and develop a system to prioritise these requests, communicating effectively with colleagues.
- Maintain and update primary and secondary contacts for referral and signposting partners, funders, corporate partners and other key stakeholders.
- Produce, update and maintain documents and information, including Policies and Procedures, templates, signposting sheets, information packs, data sharing agreements, digital materials, and other resources to a high standard.
- Monitor the general enquiries email inbox and respond to or forward incoming emails as required.
Skills and Experience
Essential:
- At least 2 years of Data Analytics experience and knowledge.
- A good understanding of Data Analytics and can present data in a succinct and accessible way.
- Excellent IT skills, including Microsoft Office 365 and the ability to use online tools and learn new software with minimal ongoing support.
- Experience with or ability to manage the IT requirements of a small charity.
- A keen attention to detail and a commitment to achieving high standards.
- Ability to work under own initiative with minimal supervision, accuracy and attention to detail and to prioritise workload to meet all agreed deadlines
- Reliable and adaptable, able to respond to changing priorities
- Ability to handle sensitive information and maintain confidentiality when appropriate
- A proactive approach to work with a ‘can do’ attitude.
Desirable:
- Experience in using a CRM or equivalent database
- Data analytics qualifications
- Experience working within a small charity or food bank
