Job description

Manpower are looking for an experience Administrative Specialist to join our growing client who is based in the Tyseley area of Birmingham.

Temp - Perm

Monday - Friday
9am - 5pm
£11.50 per hour

The Administrative Specialist plays a critical role in overseeing and managing administrative functions within the warehouse site. Responsible for a diverse range of tasks, this position ensures efficient operations by handling procurement, visitor coordination, documentation management, scheduling, and facilities oversight.

Main Duties:

  • Purchase Order Management: Creation and management of Purchase Orders for essential supplies and services.
  • Creation of reports, spreadsheets, graphs and power point presentations
  • Visitor Coordination: Schedule and organise visitor appointments, ensuring a welcome experience
  • Meeting Support: Attend meetings, maintain action logs, and ensure effective follow-up on action items
  • Facilities Oversight: Conduct regular walk-throughs with contractors to maintain facility functionality and safety standards
  • Document Management: Organise and store documents while ensuring accessibility and compliance
  • Work Instructions and Documentations: Develop, update, and manage work instructions and documentation for clarity and accuracy
  • Scheduling: Create and manage schedules or warehouse activities, ensuring smooth coordination between teams
  • Supplies and Resource Management: Order necessary supplies, equipment, and manage inventory levels
  • Customer Service: Meeting all customer expectations and requirements
  • Contribution to the completion of KPI's for the site

Requirements:

  • Extensive Excel knowledge
  • Organisation Skills: Strong organisational abilities to manage multiple tasks effectively
  • Attention to Detail: Keen eye for detail, ensuring accuracy in all administrative tasks
  • Communication Skills: Excellent verbal and written communication for effective collaboration with various teams and external stakeholders
  • Analytical Skills: Ability to analyse data and make informed decisions based on the analysis
  • Problem Solving Abilities: Strong problem-solving skills to address challenges and implement effective solutions
  • Adaptability: Capacity to adapt to changes, work under pressure, and meet deadlines
  • Team Player - Ability to collaborate and work within a team environment, supporting and understanding different departmental needs
  • Time Management: Efficient time management skills to prioritise tasks and meet deadlines effectively
  • Tech Proficiency: Proficiency in Microsoft Office Suite and administrative or warehouse management software
