Job Requirements

This successful candidate will be responsible for Procurement and Logistic activity, Supplier Relationship Management (SRM), Operational Service Delivery for UK Docks Marine Services allocated category/supplier portfolio, ensuring delivery of our contractual performance obligations to our customer; the UK Ministry of Defence. Preparing and support procurement activities including, but not limited to, raising Request for Quotations, creating, and managing purchase orders, expediting delivery, supporting supplier negotiations for price and lead time and organising supplier visits. 

 

Ensure all business systems, document management systems and data sources are kept up-to date to provide a single point of truth for stakeholders whilst ensuring all tasks are performed with a right first time ethic in order to meet business-wide Safety, Quality, Cost, Delivery and People principles.

 

What will you be doing? 

Update of RFQ within procurement software, issue of Purchase order(s), liaising and organisation of freight forwarding, importation of sourced equipment, spares, components for the vessels globally. Acting as agent for the UK MOD, ensuring procurement activity is undertaken in full compliance with UK Public Sector Procurement Legislation and/or Crown Commercial Service Framework. Ensuring appropriate flow down of contract requirements and obligations through to the supply chain. Proactively manage supplier underperformance in accordance with contract SLA’s and KPI’s to ensure delivery of service to our operational teams and end customer.

 

Essential

  • Previous experience in a similar position.
  • Relevant experience of Procurement and Logistics on global projects.
  • Experience working with challenging and changing deadlines.
  • Good time management skills and ability to multitask.
  • Excellent communications skills.
  • Able to work under pressure and tight deadlines.
  • Microsoft Office.

RESPONSIBILITIES

  • Develop Logistics models in support of Global activities/requirements/customs legislation.
  • Be responsible for accuracy and timeliness of declarations for items such as dangerous or licensable goods.
  • Be the contact point for various Freight & Logistics 3rd parties.
  • Accurately maintain records and keep files for any goods that are bonded/require customs clearance.
  • As required, issuance of documents and procedures to support tender deliverable related to OR SCM Logistics/Freight activities.
  • Effective communication with internal and external stakeholders in relation to the Freight & Logistics activities.
  • Support shipment of material and equipment from global locations to nominated vessels/worksites.
  • Manage each shipping file including issuance of work orders, commercial invoices, verification of shipping documents and supplier invoices.
  • Ensure all services are performed by nominated subcontractors as per the work orders.
  • Ensure all tools and systems are updated with shipping status and relevant documentation.
  • Validate import paperwork to complete clearance instructions
  • Obtain import documents to meet business/HMRC regulations
  • Complete HMRC amendments as required.
  • Maintain import database records
  • Effective and regular communication with Logistics personnel in the region where project is executed and wider stakeholders.
  • Compliance with customs and local laws at origin and destination location.
  • Procuring consumables, technical spare parts and services for the vessels. 
  • Dealing with technical specifications, quotation requests, offers, and purchase orders efficiently and on time.
  • Negotiating prices and conditions. Ensuring the competitiveness of purchasing functions.
  • Follow up on RFQ’s, order confirmations and expediting of all open orders. Control the issuing of Purchase Orders for staff and other sundry items or equipment.
  • The input of vessel and office requisitions to the company system, where necessary, clarifying any additional information as required in a timely and reliable manner.
  • Manage the progress and delivery of orders, resolve any discrepancies as advised by technical department with and Co-ordinate the most cost-effective freight and delivery of supplies Select suppliers from approved supplier lists, issue enquiries and orders, using company software. 
  • Co-ordinate delivery of spares and stores in conjunction with technical department and advise of any known problems. Advising technical department of spares shipments details
  • Prioritising urgent orders.
  • Liaise with technical department on purchasing matters.

 

Your Skills And Experiences

  • Good understanding of Procurement principles, techniques, and practices in a professional setting.
  • First hand knowledge of International Freight regulations, Ship Spares in Transit.
  • International experience and experience of arranging transport for collection.
  • Understanding of on time delivery, cost, and quality through the successful actions of the Supply Chain.
  • Experience in use of Microsoft packages. (SAGE or other systems related is greatly desired however not essential) 
  • Strong communication and organisational skills.
  • Ability to multitask and prioritise.
  • Ability to produce and maintain accurate documents.
  • Have a good understanding and appreciation of a proactive safety culture.
