Exciting opportunity to join new department with Facilities Management company based in Glasgow. Urgently looking for permanent Managed Contracts Administrator.
37.5 hours a week: Mon-Fri between 07:00 - 20:00
Occasional weekend work to cover holidays of co-workers
In the role, you will liaise with operations colleagues, external contractors, suppliers, and customers alike to ensure all jobs are assigned effectively to contractors. Ideally, you will have previous experience in Facilities Management, this is not essential as full training will be provided.
You will be trained on the companies bespoke systems to aid you with your duties, once fully trained, you will have the opportunity to work hybrid.
Daily Duties and Responsibilities:
Manage bespoke systems - Log all information accurately on the systems completing all relevant fields throughout each call/e-mail following relevant processes
Organise and prioritise work to maximise efficiency and achieve deadlines
To ensure the prompt allocation of both reactive work & ppms to contractors, ensuring agreed sla's are met, fielding calls from engineers & stores.
Seeing cases through to completion & driving down open work order numbers
Ensure reactive & remedial works are in scope & plan in for correct engineer, prioritising by SLA & ensuring maximum productivity, assigning jobs to contractors on both in house & customer systems, ensuring ETA & notes are updated
Communicate fluently and confidently with colleagues, customers and management, ensuring effective written and verbal communication of all critical operational issues where required

The ideal candidate:
Has experience in an administrative role
Is competent on Microsoft applications, specifically excel
Good communication skills
Experience managing contracts
Is very organised and can prioritise duties
