Overview

Marketing PA (12 month FTC)

Location : London - Bishops Square

We are currently recruiting for a PA to join our Marketing department on a 12 month FTC.

Department purpose

The business development, marketing and communications team is integral to the setting and achievement of the firm’s global client strategy, which includes guiding the partners and associates in their pursuit of becoming the clients’ trusted advisers, building and maintaining long-lasting, deep institutional client relationships, winning new clients, increasing the visibility of the firm globally, and positioning the firm as the thought leader and most advanced law firm among the global elite law firms. The function works as one team across the globe with very close collaboration between the central groups, such as communications, and the professionals working in local offices, practice groups, sectors and clients.

Role purpose

Reporting to the Chief of Staff, we are currently looking for an experienced PA/EA to provide effective and high quality support to a number of the Global Heads within the Marketing Team on an FTC basis to cover an internal secondment.

  • Broader business teams, including but not limited to Finance, IT and Business Services

Role and responsibilities

Providing support to the Heads which they support and the broader Marketing Operations Team, including but not limited to:

  • Organising travel and accommodation
  • Processing expense claims (Head level only)
  • Diary management (Head level only)
  • Assisting Heads and Chief of Staff with budget management
  • Liaison with contacts at clients and other external organisations
  • Setting up of conference calls/online meetings
  • Assisting with organisation of events (virtually and in-person)
  • Implementation of global and London wide organisational and administrative initiatives
  • Producing communications, correspondence, presentations, spreadsheets, reports and stats as required
  • Maintaining intranet pages and wikis
  • Ensuring databases are kept up to date
  • Providing support on team projects where necessary
  • Preparation and regular updating of brochures, presentations, reports, structure charts etc (liaising with other business teams)
  • Ad hoc department wide projects and tasks allocated by the Chief of Staff

Responsibility for assisting with on-boarding of new joiners within the teams which the role supports which includes but not limited to:

  • Compiling an introductory schedule of meetings
  • Pulling together a new joiner pack
  • Producing and updating structure charts

Key requirements

  • Strong knowledge of Microsoft Office Suite, particular skills with Excel and PowerPoint preferred
  • Well organised, with the ability to work under pressure and prioritise and manage competing demands
  • Project management skills would be useful including the ability to manage budgets
  • Excellent written and oral communication and interpersonal skills
  • Shows initiative/proactivity, enthusiasm and willing to become involved in additional projects as and when required
  • Maintain tact and diplomacy, trust and confidentiality
  • Strong relationship building skills and being a team player is critical
  • An eye for detail, with excellent accuracy
  • Willingness to help organise others
  • Have an enthusiastic approach to change and adapt to an ever-evolving role
  • Provide exemplary standard of services to clients, whether internal and external
  • Take responsibility with regard to team-building and providing a supportive environment to colleagues
  • Take responsibility for ensuring personal development and IT skills are maintained and improved
  • Organisation of team building events/training/social events
  • Experience using Vuture is beneficial but not essential
