Job Type: Permanent, 40 Hours per week

Departmental Overview

Our Pre-Construction department manage a portfolio of clients in both public and private sectors. Their role is to accurately assess, estimate and complete design services for new projects in these markets, before handing over to our Operations department for successful implementation.

Primary Objective

We are currently seeking a Bid Writer to provide assistance in the MEP Building Services sector.

The Bid Writer’s primary responsibility entails producing top-notch written bids, tenders, and quotation materials in collaboration with management and other pertinent personnel. It is crucial for the Bid Writer to execute this task in a manner that attains the highest possible score for competitive bids and tenders. Additionally, the creation of case studies for utilization on our website and social media platforms will also be required.

Key Responsibilities

The key responsibilities of this role include but are not limited to the following tasks:

  • Provide admin support from initial enquiry to tender submission, including bid writing input from simple quotations and client enquiries to large scale bid proposals and tender submissions.
  • Assistance in sourcing new clients; monitoring portals and sources of new / potential tender opportunities for the business.
  • Taking ownership of client portals – Including dealing with daily alerts and maintenance of portal logins.
  • Taking ownership of the PQQ / ITT / RFI process; including downloading, collating, preparing, completing, and submitting associated documents ahead of deadlines.
  • Ensuring the correct documents are submitted/uploaded as part of a bid.
  • Thoroughly editing and proof-reading materials to ensure information is formatted and grammatically correct without spelling errors, is well-researched, adheres to company brand guidelines and meets customer requirements.
  • Ensuring that our in-house bid processes are developed, understood, and implemented to ensure that quality, commercial and legal requirements are consistently met.
  • Create written content which is persuasive and informative and is consistent in style, language and approach (solution / strategy) throughout.
  • Create and maintain a bid library of company information and standardised bid submission material content for the inclusion into PQQs, RFIs, Questionnaires, etc.
  • Creation of case studies for projects undertaken, for use in bid writing materials, website, and social media usage. This task may include occasional site visits.
  • Support preparation of materials for client presentations, using PowerPoint.
  • Carry out on-line market research of clients, competitors, latest developments in relevant sectors.
  • Identify opportunities to enhance and improve our bid processes.
  • Drive continuous improvement, through post-bid reviews, both internally and with client organisations.
  • Assist with ad hoc business development & marketing projects that may require additional resource.
  • Assisting with development of bespoke proposals, best practice information, technique guides, template answers and style sheets.

To be effective in this role the Bid Writer will need to:

  • Maintain and build up a good working relationship with internal and external stakeholders including colleagues, customers, suppliers, and senior management teams.
  • Be able to work efficiently and effectively as part of a team.
  • Communicate effectively with all other departments.
  • Deliver quality service to the client ensuring that performance standards and contractual KPI’s and SLAs are met.

Person Specification

To be successful in this role the Bid Writer will:

  • Minimum 1-Years’ experience within a similar role
  • Experience of compelling bid writing material/proposals/offers for competitive tenders.
  • Solid knowledge of the market and quality written responses
  • Excellent English language and written communications
  • Excellent attention to detail and ability to work to deadlines.
  • Excellent knowledge of Microsoft software packages
  • Excellent organisational and time management skills
  • Self-motivated, able to work on own initiative and within a team environment.
  • Strong communication and interpersonal abilities
  • Strong analytical skills
  • Enthusiastic approach and a positive team player
  • Confident and adaptable to deal with changing project requirements.
  • A naturally positive attitude, innovative and inquisitive nature
  • A legal right to work in the UK.

Education, Qualification and Certification

  • Experience in FM [Facilities Maintenance] and / or MEP [Mechanical, Electrical, Plumbing] Construction Management, or related field.
  • Competent in Technical Writing Skills
  • Proven experience as a Bid Writer in the construction industry.
  • Proficiency in estimating software and tools.
  • Strong analytical and mathematical skills.
  • Excellent communication and interpersonal skills.
  • Detail-oriented with a high level of accuracy.
