Job description

Location: Bracknell (This is not a hybrid role)

Hours: Monday to Friday, Part-time, 09:00 to 14:00

Job Purpose:
To provide administrative support to the Maintenance Director (who will not be office-based) of Fix it 1st Property Maintenance and offer ad hoc admin support to the other Directors. This is a new role at a property maintenance company covering Surrey, Hampshire and Berkshire, providing a great opportunity to make it your own.

Key Responsibilities:

  • General office duties
  • Taking client calls and booking site visits using Tradify software
  • Managing invoicing and quotes using Tradify
  • Keeping the database up to date with client and job details
  • Document management
  • Writing up client quotes based on provided information
  • Job scheduling using Tradify
  • Responding to client emails
  • Researching suppliers and ordering supplies
  • Monitoring and maintaining service contracts
  • Maintaining compliance spreadsheets
  • Booking vehicles for MOTs and service
  • Performing any ad hoc tasks necessary for the business

Required Qualities:

  • Experience in an administrative role
  • Keen eye for detail
  • Strong communication and presentation skills
  • Desire to deliver outstanding customer service
  • Administrative experience in the construction/building industry (beneficial but not essential)
  • Excellent knowledge of Word, Excel, and Teams
  • Proficiency in creating and maintaining spreadsheets
  • Confidence in speaking with clients and taking phone calls
  • Hardworking and driven
  • Ability to work on own initiative
  • Experience using databases
