Job Description - Administrator
Location: Children’s Home & Home Based
Hour of work: 20
Report to: Operations Manager
Purpose
To provide administrative support to the service, including Directorate, the Senior Management Team, and Children’s Homes.
Main Duties and Responsibilities
· Provide full administrative support to meet the needs of the service.
· Understand the principles of safeguarding and how this applies to role.
· Maintain effective work systems, ensuring that all correspondence and documentation is dealt with appropriately.
· Maintain and monitor petty cash systems in the service to ensure effective finance management processes in line with wider group processes.
· Ensure children allowances are allocated as required, monitor, record, and report expenditure.
· Reconcile credit card expenditure and submit for processing.
· Raise purchase orders and complete invoicing process to ensure payment for services are made in timely manner.
· Complete safer recruitment checks in line with Children’s Homes Regulations and record on Sue Solutions, Bright HR and other platforms used by the company
· Keep accurate records of maintenance works completed in the service.
· Record and report all staff absence and produce data for payroll, HR, and senior managers
· Liaise with Registered Managers & Operations Manager, to complete the monthly payroll return and submit in line with monthly cut off.
· Ensure effective management of administration within the service.
· Take accurate minutes and circulate within set timescales.
· Produce letter/reports from dictation.
· Maintain confidentiality and always abide by data protection laws when processing data.
· Travel between and work from locations within the region.

· To undertake any further training as identified
· Ensure that safe working practices are followed in respect of COSHH and other Risk Assessment control measures.
· Comply with the provisions of ‘The Health and Safety at Work Act 1974’ and must take reasonable care for the health and safety of themselves and of other persons who may be affected by their acts of omissions whilst at work.
· Understand, comply with and promote Treetops Children Homes safeguarding policy and procedures.
· Treetops Children Homes has an Equality and Diversity Policy, and it is the responsibility of all staff to comply with this.
· Maintain the confidentiality about children & young people, staff, and Treetops Children’s Homes other businesses. The work is commercially sensitive and confidential, information gained must not be communicated to other persons except in the recognised course of duty.

Disclosure Barring Service Check
This post is subject to the Rehabilitation of Offenders Act (Exceptions Order) 1975 and as such it will be necessary for a submission for Disclosure to be made to the Disclosure Barring Service (formerly CRB) to check for any previous criminal convictions.
