Overview:
As an Office Manager, you will play a pivotal role in overseeing and coordinating administrative activities within the company. Your primary responsibilities will involve managing sales orders, purchase orders, stock control, administrative tasks, and ensuring quality control measures are upheld. You will be responsible for maintaining efficient office operations and supporting various departments in achieving their goals.
Key Responsibilities:
Sales Orders Management:
Receive, process, and manage sales orders from customers.
Coordinate with the sales team to ensure accurate order fulfillment.
Maintain records of sales orders, invoices, and payments.
Purchase Orders:
Create and manage purchase orders for necessary supplies and materials.
Liaise with vendors and suppliers to ensure timely delivery and cost-effective procurement.
Track and reconcile purchase orders with receipts and invoices.
Stock Control:
Oversee inventory levels and manage stock control systems.
Conduct regular audits to track inventory movement, identify discrepancies, and prevent stockouts or overstock situations.
Collaborate with relevant teams to forecast demand and manage stock replenishment.
Administrative Duties:
Maintain office procedures and ensure compliance with company policies.
Handle correspondence, manage filing systems, and organise office operations.
Coordinate meetings, appointments, and travel arrangements for executives if required.
Quality Control:
Implement and monitor quality control procedures to ensure products or services meet established standards.
Conduct inspections and quality checks on incoming/outgoing goods on the shop floor.
Collaborate with relevant departments to address quality-related issues and implement improvements.
