Position Overview:

As an Operations/Scheduling Coordinator at Assist Security, you will play a crucial role in optimising our workforce management processes. Utilising Smart Task scheduling software, you will be responsible for efficiently allocating resources, managing schedules, and ensuring that our security personnel are strategically deployed to meet client needs. You will also be responsible for supporting HR & Recruitment initiatives, new contract mobilisations and projects, as well as site quality, compliance and staff welfare visits/audits.


Pay rate: £14 per hour (approximately £31k per annum, based on 42hrs average per week).

Hours/Work Pattern: Shifts including days, evenings/nights & weekends, averaging 42hrs per week.

Contract type: Full time.

Work location: Primarily office based, with travel/site visits.

Key Responsibilities:

  • Resource Allocation: Coordinate and optimise the allocation of security personnel based on client requirements, skill sets, and geographical considerations.
  • Scheduling Management: Utilise Smart Task scheduling software to create, maintain, and adjust staff schedules, ensuring maximum operational efficiency and adherence to contractual agreements. Conduct ongoing assessments of resource capacity and workload to identify potential gaps or areas for improvement.
  • Communication: Collaborate with internal stakeholders, including Operations, HR, and client representatives, to understand staffing needs and address any scheduling concerns.
  • Performance Monitoring: Track and analyse the performance metrics of the scheduling system, identifying opportunities for improvement and implementing enhancements as needed.
  • Reporting: Generate regular reports on scheduling efficiency, resource utilisation, and any other key performance indicators to inform decision-making processes.
  • Recruitment & HR: Support company recruitment initiatives, which can include screening of candidate CVs, booking and conducting interviews, and providing candidate feedback, as well as HR related processes, for example: conducting investigations.
  • Quality, Compliance and welfare visits: Conduct site quality, compliance and staff welfare visits as required, ensuring all relevant site documentation (including Assignment Instructions, Risk Assessments, Toolbox Talks, Standard Operating Procedures, Training records, etc) are maintained, up to date and signed by all staff; also checking staff are adhering to correct uniform/dress code standards and working with the required SIA licence.
  • Ad-hoc Tasks and Projects, Ops support: General Ops support and supporting ad-hoc Tasks and Projects, as assigned by Management - examples being new contract mobilisations, and delivering equipment, uniform & PPE to sites/staff etc.

Skills & Qualifications:

  • Proven experience in workforce management, scheduling, or a related role.
  • Familiarity with Smart Task scheduling software or similar tools.
  • Strong analytical and problem-solving skills.
  • Excellent communication and interpersonal abilities.
  • Flexibility and ability to work collaboratively in a fast-paced, dynamic environment.
  • Driving licence is essential.
  • Background and strong understanding of security industry practices is a plus.
  • Operations Centre/Control Room background and experience is a plus.
  • Familiarity with Microsoft 365, Monday.com, Jobtrain, LinkedIn, Indeed and Reed is a plus.
