Operations Support Assistant
Hours and Location
Full time, Monday-Friday 09:00-17:00 (37h p/w)
Part time or flexible working hours may be considered for the right candidate.
Home based with a requirement to attend team meetings in Swindon weekly.

Head of Operations
Job Purpose  
To support the Operations team with the day to day running of the operational aspects of Westworks.

Role
The Operations Team provides procurement solutions to our members by conducting tenders on their behalf. The work is reactive, and the team strives to respond to queries and address issues promptly. Consequently, there is a need for administrative support to assist the team in focusing on the primary tender activities. Although the role primarily involves administrative tasks, an ideal candidate will be enthusiastic about learning and understanding tender operations, with the aim of providing assistance during busy periods.
Main duties and responsibilities
 
- Provide general admin support to the Operations team
- Respond to incoming calls and emails, assist with basic queries and signpost as required
- Generate and issue routine tender correspondence
- Collate and file tender information
- Maintain and update member and supplier data on a central portal
- Manage supplier onboarding and address application and login queries
- Track tender activity and provide regular updates to the marketing team
- Generate and process contract award documentation
- Collate and prepare information ahead of meetings
- Manage credit reference agency watch lists
- Manage Ops Team calendar and room bookings
Skills and attributes
- Excellent organisation and time management skills, with the ability to prioritise tasks and meet deadlines
- Self-motivated, with the ability to work independently
- Effective written and verbal communication skills
- Ability to liaise with different departments and external stakeholders
- Quick thinking with good problem-solving skills, to address day to day challenges
- Good customer service skills, for handling enquiries or issues
- Ability to work well within a team and support team goals
Knowledge and experience
- Proficient in Microsoft Office software (essential)
- Familiarity with CRM systems for managing customer-related information (desirable)
- Customer service experience (desirable)
- Data management experience (desirable)
It's essential for the Operations Support Assistant to be confident, versatile and adaptable, as the specific role requirements may vary depending on business priorities. Being able to learn quickly and communicate effectively are key attributes for this role.
