The Role
This position has the responsibility of meeting and exceeding the company standard operating procedures while obtaining client satisfaction. The Orders Coordinator is responsible for monitoring and processing client requests within the contractual SLA’s and to liaise with all necessary departments in order to achieve this objective, working within a team environment.
This role is based at the Westhill record centre and reports to the Operations Manager.
Key Responsibilities
- Ensure all daily client work orders are filled upon receipt from Client Service.
- Ensure Rush work orders are processed timely and accurately.
- Field all client requests and orders within required SLA’s.
- Understand the functions of different OASIS departments relating to client requests.
- Understanding of OASIS specific software programmes (PleXus & TR).
- Understand and follow the processes as detailed in the company SOPs.
- Liaise with stores and scanning teams to deliver client requests.
- Ensure TR WO tracking is kept up to date at all times.
- Know and understand the different types of client data.
- Attend training courses provided by OASIS to further knowledge and understanding of data.
- Actively assist in the planning and implementation of new procedures and processes as directed by management.
- Advise and report any safety related operational issues.
- Keeping the working environment tidy and free of hazards.
- Assist the team with any ad-hoc client scanning requests.
- Complete set targets within allotted timeframe.
- Carry out instructions from Operations Manager on current and upcoming operations.
- Ensure all equipment is kept in working order and any maintenance issues are reported accordingly.
- Execute any other work as directed by line manager.
- Adhere to HSE guidelines.
- Knowledge of OASIS scanning processes and operation of scanning equipment as and when required.
- Comply with all company policies and all relevant data protection legislation to ensure.

- Adhere to all company policies and complete all mandatory training modules.
- Report any potential or actual security, environmental or health and safety incidents to your line manager and / or the OASIS Compliance team as soon as you become aware of them.
