About the Role
NB This is a Fixed Term Contract for a minimum period of 6 months.
Oxford University Press is a department of the University of Oxford, which furthers the University's objective of excellence in research, scholarship, and education by publishing worldwide. The Press's Education Division provides educational resources and solutions to teachers, parents, learners and institutions in the UK and in countries around the world.
We are seeking an experienced Personal Assistant (PA) to provide support to the Divisional Finance Director and Director of Strategy & Delivery. These roles are part of the divisional Senior Leadership Team (SLT), with global accountabilities and team members located around the world.
Key responsibilities in this role will include:
  • Proactively managing and updating diaries, with often challenging scheduling and short timelines.
  • Coordinating and booking all travel arrangements as and when necessary
  • Document formatting and editing as required (mainly Word and PowerPoint documents for formal SLT or Board meetings)
  • Project co-ordination and other project related duties as necessary/required.
  • Coordinating key departmental meetings; booking meeting rooms, updating Outlook calendars and taking minutes where relevant.
  • Managing expenses and invoice authorisations.
  • Cover for other senior PA staff in the small head office team, as required.
  • Organising conferences, team meetings and internal communications events.

This role requires a minimum of 3 days per week in the Oxford office.
About You
To be successful in this role, you will ideally have:
  • Significant experience of providing support to SLT / board level directors or other senior staff (diary management, travel arrangements, etc)
  • Experience of document editing and other administration / project co-ordination support tasks
  • Track record of being proactive, highly organized and dynamic, and with the ability prioritise and manage multiple tasks to tight deadlines.
  • Proven track record of demonstrating ability to manage/influence stakeholders of all levels
  • Experience working in matrix operating environment.
  • Excellent organisational skills and attention to detail
  • Excellent communication skills, and the ability to communicate with all levels across an organisation
  • Critical thinker and problem solver
  • Comfortable with ambiguity and committed to hitting tight deadlines in a fast paced strategic environment.
  • Globally minded and ability to work across time zones, markets and cultures.
  • Outstanding team player who engages in a culture of partnership, teamwork and collaboration.
  • Advanced Microsoft Office (Excel, Word, PowerPoint) skills with the ability to produce visually attractive and well-articulated presentations and reports.
