Role Overview

Fixed term role from 11th March to 26th April 2024.

To provide full PA support to the Director, Global Residential Network and Head of Savills Ski and administrative support to the teams.

The successful candidate will have strong organisational and communication skills with the ability to work under pressure handling work of a confidential nature.
The candidate should have previous experience of supporting senior executives.

Key Responsibilities

• Providing full PA support to the Head of Global Residential Network and Head of Savills Ski and some administrative support to the team
• Extensive diary management across time zones
• Arranging internal and external meetings, booking meeting rooms and setting up conference calls
• Managing Directors emails - flagging any that need urgent attention and responding where suitable
• Organising international travel including flights, accommodation, visas, transfers and itineraries where appropriate
• Answering telephone calls, taking messages and directing enquiries to the appropriate team
• Organising monthly management meetings, preparing Agendas; organising bi-monthly International department meetings and weekly team meetings
• Maintaining and updating CRM systems
• Compiling due diligence and following up with Compliance and Group Legal
• Assisting with creating and formatting presentations
• Arranging international workshops via Zoom/Teams
• Assist with arranging international conference
• Collating quarterly figures across international offices
• Invoicing and purchase orders
• Completing expense claims
• Assisting with international projects where required
• Liaise with and build relationships with senior stakeholders
• Maintain a high level of professionalism when dealing with clients and colleagues
• Manage private and confidential information with the utmost discretion 

Key Skills

• 2-3 years’ experience as a PA or solid experience in an administrative capacity
• Ability to act in a professional and confidential nature at all times
• Excellent communication skills – both verbal and written
• Excellent organisational and administrative skills – able to prioritise multiple tasks and deadlines and good attention to detail
• Confident to take ownership of all travel arrangements
• Able to work on their own and use their own initiative and delegate effectively for maximum results
• Ability to work under pressure
• Able to work across different time zones
• Working knowledge of a European language (either French or Italian) beneficial but not essential
Technical experience:-
• Excellent knowledge of Microsoft Office
• Diary management
• Previous use of Financial Tools (My Purchasing & Billings Portal) would be preferred
• Previous use of CRM systems would be preferred (superficially Dynamics and Reapit)
• Good numerical skills

Team Overview

You will work closely with the Head of Savills Ski and the Head of Global Residential network and their small teams both in the UK and the offices in Switzerland and France.
