Greek Speaking PA/Administrative Assistant

A lovely family is looking for a highly organized and detail-oriented Administrative Assistant to support their senior EA and private Family Office. You will be based both in the family home and the family office which are located in Chelsea.

This position requires a proactive individual with exceptional organizational skills, strong communication abilities in both Greek and English languages, and the capacity to handle sensitive information with discretion and confidentiality.

Main duties and responsibilities

  • Assist in scheduling meetings, appointments, and events for the Senior Executive Assistant.

  • Coordinate and manage complex calendars, ensuring all appointments are scheduled efficiently.

  • Assist in making travel complex and demanding arrangements, including booking flights, hotels, and transportation.

  • Prepare travel itineraries and ensure all necessary documentation is in order.

  • Draft and edit correspondence, emails, and other communications on behalf of the Principals and members of the Family Office

  • Act as a liaison between the Senior Executive Assistant and internal/external stakeholders.

  • Handle general administrative tasks, such as answering phones, managing mail.

  • Undertake special projects and assignments as directed by the Senior Executive Assistant.

  • Organize and maintain files, documents, and records in both physical and electronic formats.

  • Prepare and review documents, reports, and presentations as needed.

  • Coordinate logistics for meetings, including room reservations, technology setup, and catering if necessary.

  • Attend meetings as required, take minutes, and distribute them to relevant parties.

Key requirements and desirable attributes

  • Proficient in Greek with an ideal preference for fluent/bilingual proficiency.

  • Proven experience as a PA/Administrative Assistant or similar role.

  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).

  • Strong organizational and multitasking abilities.

  • Excellent written and verbal communication skills.

  • Ability to maintain confidentiality and handle sensitive information.

  • High level of attention to detail and accuracy.

  • Proactive and self-motivated with a positive attitude.

  • Ability to work effectively in a fast-paced environment.

Working hours: 9am – 6pm Monday – Friday

Salary: £40-55k GPA depending on experience

Start date: flexible
