Job description

Marriott's Medical Practices have an exciting opportunity to grow our team of patient coordinators and to further develop our progressive team. We have a permanent part-time role and a maternity contract role available, so please get in touch.

The positions will be based across both Taverham Surgery and Bacon Road Medical Centre.

We currently have a team of eight patient co-ordinators at Taverham and five at Bacon Road, and across the two sites we provide care for c13,000 patients supported by approachable managers and team leaders.

We offer a two-week induction whereby you will have time with our patient coordinators, administrators, dispensers as well as other members of the team to gain a good understanding of how the practice operates and to meet the team. You will also have protected time to be introduced to our clinical systems and to complete mandatory online training.

The main purpose of the role is to:
  • Offer general assistance to the practice team and project a positive and friendly image to patients and other visitors, either in person or via the telephone.
  • Ensure that all our patients have access to a safe surgery environment.
  • Receive, assist, and direct patients in accessing the appropriate service or healthcare professional in a courteous, efficient, and effective way.
  • Monitor and maintain the reception waiting area ensuring patients are kept informed in the event of any unforeseen circumstances or updates to clinics.
  • Undertake a variety of administrative duties to assist in the smooth running of the practice, including the provision of secretarial and clerical support to clinical staff and other members of the practice team.
  • Facilitate effective communication between patients, members of the primary health care team, secondary care, and other associated healthcare agencies.
  • Ensure accurate documentation within patient records via SystmOne.
  • Monitor and respond to online communications via our online system, Patchs.

You will have the following skills/experience:
 
Essential:
  • Good General Secondary Education
  • Excellent communication (oral and written) skills and outstanding interpersonal skills.
  • Excellent keyboard and computer skills
  • Ability to listen and empathise.
  • Appropriate IT knowledge, skills, and experience
  • Negotiating skills and problem solving
  • Good time management
  • An understanding, acceptance, and adherence to the need for strict confidentiality
  • Ability to work without direct supervision and determine own workload priorities.

Desirable:

  • Experience of working in public reception environment.
  • Experience of using a clinical medical system, or similar.
  • Experience of dealing with the public/patients.
  • Experience of dealing with the public on the telephone.
  • Customer care training
  • Experience of using SystmOne
  • Knowledge of primary care in the NHS
