A Vacancy at East Kent Hospitals University NHS Foundation Trust.
We are offering the opportunity to work in the Quality Governance Team as a member of the PSIRF team. The post holder will help assist the PSIRF team in delivering high quality safe care for our patients by supporting staff, monitor incidents and near misses and assisting in learning from these incidents helping to ensure improvements in the quality of care being delivered.
The post holder will be part of a team that will be instrumental in developing the PSIRF, assisting in ensuring the Trust demonstrates a consistent culture of learning and quality improvement. This is new and exciting opportunity for the post holder to assist in delivering Patient Safety and supporting staff in a developing team implementing a new framework in the Trust.
• Assist in embedding the patient quality and safety processes across the Trust and support the Quality Governance PSIRF team in operationally managing those processes within the Trust
• Co-ordinate actions from meetings on behalf of the Quality Governance & PSIRF Teams
• Take meeting notes as required and provide meeting administration for the relevant groups and committees that relate to the Quality Governance and PSIRF teams

• To support the incident reporting system assessing risk and reporting this to various committees aimed at improving the quality and care of service users across the Trust. Contribute to the teaching of staff in on-line incident reporting as the system develops
• To promote a learning culture throughout the Trust, encouraging incident reporting and the learning from incidents
• To provide administrative support in the production and management of clinical policies, guidelines and other clinical-facing documents, formatting these using Microsoft Office and preparing them for Trust publication
• To provide administrative support in the production and management of patient information leaflets
• This post will also assist with the administration of audit as well as supporting activities that relate to the investigation of incidents and the quality and Patient Safety agenda commensurate with grade
• To receive and process the alerts the Trust receives via the Central Alerting System
• Assist in embedding the patient quality and safety processes across the Trust and support the Quality Governance PSIRF team in operationally managing those processes within the Trust
• To work with clinical staff at all levels, to support the production of high-quality reports
• Assisting in the design and upkeep of audit tools, databases
• Support training to appropriate staff under supervision
• Prepare, collate and circulate papers and reports for the PSQT related meetings. Attend meetings to provide administration support when requested
• Plan and organise straightforward activities. Plan staff rotas and cover; arrange meetings; manage diaries
• Co-ordinate actions from meetings on behalf of the Quality Governance & PSIRF Teams
• Assist with the organisation of Patient Safety campaigns within the Trust
• Take meeting notes as required and provide meeting administration for the relevant groups and committees that relate to the Quality Governance and PSIRF teams
• Provide administrative support to the Quality Governance and PSIRF meetings
• Participate in any relevant audits, ensuring timely entry of data and assisting in the completion of any final reports
• Maintain relevant databases, participating in data entry and production of relevant template reports on Patient Safety and quality activity
• Maintain the confidentiality of clinical and management information at all times within defined guidelines
• Ensure the security and confidentiality of patient information is maintained at all times
• Deal with enquiries and implement procedures guided by standard operating practices, someone normally available for reference/Work independently to defined policies and procedures, manage own workload
• Help facilitate timely investigations of reported incidents; this will include gathering further information and collection of any relevant documents to the incident teams
• Facilitate the process and distribution of the Central Alerting System (CAS) in line with the laid down policy and complete CAS reports as required
• Support the provision of governance information (Audit, incidents, complaints, claims national enquires) to relevant groups and committees and ensure groups received quality feedback
• Maximise the use of available information stored on the Trust Incident and Document Management Systems
• Sound IT skills including a working knowledge of Microsoft programmes
• Use knowledge of the systems to develop and build reports when requested for planned and ad hoc purposes
• Ensure the secure management and coordination of Patient Safety related, complex and confidential information
