The Customer Service Advisor will report to the City Manager and will provide administrative support to them as well as other members of the management team as necessary. They will provide front of house support to students, contractors and visitors and be the initial point of contact for any queries. They will also be responsible for some aspects of Marketing for the scheme.
Preferred to be Mandarin Chinese Bilingual but not Necessary. 1 in 5 Weekends to be worked. Multi Site work (Central Quay and Sharman Court)
Main Duties and Skills required are below;
· Answering student or stakeholder queries by telephone, email, letter or in person at the reception desk. Directing queries to the relevant member of the management team.
· Sorting, storing and distributing the post on a daily basis and managing student parcel deliveries and collections using the Portal.
· Assisting the Scheme Manager and Administrator with administrative tasks as required.
· Assisting the management team with some aspects of financial control including;
· Receiving student payments by card.
· Handling bookings, relets, allocations and cancellations, including;
· Checking in and checking out Residents and completing all necessary paperwork.
· Marketing - assisting the management team with room viewings for potential new residents. Attending open days and promoting Capitol Students. Thinking creatively about ideas to promote the Capitol Students brand.
· Assisting management and security in responding and investigating fire alarms.
· Assisting with other ad hoc requests as necessary, especially at busy times of the year such as move in and move out weekend and termly flat inspections.
· Preparing arrival packs for new residents
· Organising social events on site, monitoring social media and updating our social media streams
· The post holder will need to be computer literate with the windows package and the use of spreadsheets.
