Department/Role overview

The People & Culture (P&C) function is focused on advancing Ashurst through purpose driven transformation strategies to attract, retain and enable market leading talent, assisting individuals and the firm to reach their full potential.

The function comprises of P&C business partnering teams, Learning & Organisational Development, Reward, Diversity, Partnership Office, Talent Acquisitions and Early Careers. These teams work closely together to provide a global, seamless People & Culture service delivery across the firm

Hours of Work - Monday to Friday, 9.00am to 5.30pm including 1 hour lunch

Travel - Able to travel to our London office approx. 6 times per year.

Main responsibilities

This role will support recruitment and development of high calibre early career talent in the UK.

Early Careers Attraction & Recruitment

  • Assist with planning and organisation of Early Careers presentations to colleges, schools and universities and represent the firm on campus and at any law and careers fairs.
  • Operational working relationship with other third-party providers who work with school students to ensure a diverse pipeline of apprenticeship candidates.
  • Coordinate and facilitate vacation schemes (1 winter and 1 summer)
  • Build and maintain good working relationships with the firm's partner interview committee and those fee-earners involved in campus activity.
  • Maintain and update Applicant Tracking System (CVmail).
  • Assist with screening of Early Careers applicants using a robust selection process
  • Coordinate telephone interviews, interviews and assessment centres including schedules, room bookings and collation of feedback post interview
  • Act as referral point for prospective candidates or contacts and manage general enquiries in the team's Graduate Recruitment inbox
  • During interview periods, assist team with interviewing candidates for apprenticeships, training contracts, vacation schemes and Ashurst Advance vacancies.
  • Maintain interview and offer tracker.
  • Deliver feedback to candidates who reach the interview stage.
  • Generate and manage flow of offer documentation and instruct onboarding process.

Early Careers Development

  • Coordinate induction schedules including order of the day, confirming presenters, room bookings, refreshments and IT support
  • Organise the production of induction materials and training packs
  • Assist the wider team with the running of trainee inductions including on the day support
  • Liaise with the ASC people team to ensure pre-onboarding processes are completed
  • Track submission of trainee and apprentice performance review forms and file accordingly

Other

  • Responsible for all administration including processing all invoices and candidate expenses, keeping up-to-date trackers of budget spend, payments of maintenance grants and university fees.
  • Keep in regular contact with future joiners about queries and update any data changes.

Risk and Control: Ensure that all activities and duties are carried out in full compliance with our regulatory requirements and internal policies.

Essential skills and experience

  • Previous experience of working within a recruitment admin role ideally within Early Careers space.
  • Experience working with ATS systems and being comfortable within a High-Volume recruitment environment.
  • Strong time management skills with ability to manage a busy and changing workload efficiently and effectively.
  • Good event management skills.
  • Excellent attention to detail.
  • Personable and approachable style to communicate well at all levels.
  • Persuasive and confident.
  • Work well within a team and work autonomously when needed.
  • Flexible approach.
  • Proactive approach with a 'can-do' attitude. Able to generate new ideas and be passionate about innovation.
  • Good knowledge of Microsoft Office (Word, Excel, PowerPoint).
