Job description

Based in Luton, Bedfordshire our prestigious leisure client is looking for a Personal Assistant to support their director on an initial 4-week temporary basis. This will be a hybrid role with 3 days in the office per week.

This job would suit a highly organised individual with experience of working at an executive level, to provide support to the designated Director with the delivery of a professional and confidential organisational service.

With multiple sites across the UK, the finance team has a huge role within the organisation influencing key decisions, improving performance and driving consistency across the business.

The successful individual will have experience working at an exec level, supporting Director/C Level, with excellent stakeholder management experience. This person must be highly efficient and organised with excellent diary management experience. They will be providing and owning proactive planning, administrative and information management support to the Director and the team.

Job responsibilities:

  • Organise and maintain diaries, and liaise with the designated Director on a regular basis to review and adapt schedules, ensuring clear, productive and prioritised plans for the week, month, quarter and year ahead
  • Coordinating meeting logistics (venues/facilities, attendees) with preparation of agendas to ensure meetings are planned well in advance, with a clear understanding for the attending teams as to the purpose and desired outcome
  • Support the designated Director with the research and preparation of confidential and sensitive reports
  • Managing expenses and ensuring allocated against the correct budget, support with budget reporting
  • Drafting key business communications on behalf of the Director
  • Follow up with relevant team members on team meeting actions ensuring progress and completion
  • Act as the first point of contact for managers internally and externally, and represent the director team across the organisation
  • Answering calls and handling queries, meeting and greeting visitors
  • Organising travel in accordance with the company policy and preparing accurate and timely travel itineraries
  • Preparation of events, team days and team meetings with logistics, agenda creation, presentation coordination
  • Support with email management during periods of annual leave
  • Supporting the Directors direct teams to enable effective and timely interaction
  • Support team with HR evolution (payroll) support: position changes, absence and holidays, input of End of Year review ratings, action direct report expenses in HRe once approval/rejection has been given
  • Maintain general administrative records including updating org charts, team lists, email distribution lists, and ensuring leavers and starters have been communicated and processed.
