Job Title: Personal / Executive Assistant
Location: Milton Keynes
Position Type: Full-time, On-site with occasional Hybrid working.
Job Description:
We are looking for a highly organized and detail-oriented Personal / Executive Assistant to support the Managing Director and Executive team. The ideal candidate will have excellent communication skills, a proactive attitude, and the ability to prioritize tasks effectively. They will be responsible for coordinating meetings, managing calendars, preparing reports, and providing administrative support to the executive team.
Responsibilities:
- Manage executive's calendars, schedule meetings, and coordinate UK, European and USA travel arrangements
- Prepare reports, presentations, and other documents for executive team members
- Organize and maintain files and records for efficient data management
- Screen and prioritize incoming correspondence and phone calls
- Coordinate and support special projects as needed
- Assist with meeting preparation, including setting up conference calls, arranging catering, and taking meeting minutes
- Handle confidential information with discretion and professionalism
- Serve as the main point of contact for internal and external stakeholders
- Perform other administrative tasks as assigned
- Learn to Pre-empt the MD requirements.
Qualifications:
- 3+ years of experience as an Executive Assistant or similar role
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- Excellent organizational and time management skills
- Strong communication and interpersonal skills
- Ability to multi-task and prioritize tasks effectively
- Proactive and self-motivated with a positive attitude
- Experience working in a fast-paced environment
- Previous work with a USA firm desirable but not essential
