Job description

Job Introduction

You will be working within the administration team, directly reporting to Senior Administrators. The team will support the service in delivering repairs across multiple sites and trades. You will be responsible for planning and scheduling diaries for a multi-disciplinary trade team who deliver high standard housing repairs and project activities to Housing properties across the City. You will also liaise directly with contractors and trade operatives and undertake general administration duties such as making and receiving telephone calls, printing, collating and filing documents and sending and receiving emails and letters.

You will have excellent IT and customer service skills and an understanding of the needs of our diverse staff and customers and be able to tailor delivery accordingly to the highest standard and most efficient timescales.

The service currently has a considerable backlog of outstanding repairs and you will play a key role in tackling this work, achieving targets and deadlines to realise these goals.

This is an opportunity to develop administration skills within the Repairs and Maintenance industry and play an important role in a team who provide a crucial service for the local community.

In return for your skills and hard work, we offer:

  • A standard working week of 37 hours per week plus 5.5 hours of contracted overtime (Monday – Friday 08.00 – 17.00).
  • A full induction with job shadowing and on-going mentoring and development
  • Paid annual leave
  • Pension scheme

Due to the ongoing impact of COVID-19, we’re reviewing how we deliver services across the organisation. We’re looking into ways that office roles can be filled by a hybrid office and home working pattern.

Please read our Apply for a job at the council (brighton-hove.gov.uk) pages carefully. They give you all the guidance you need to complete your application as well as information on what will happen after you’ve submitted your application and at interview.

As part of your application, you will need to upload your CV and answers to some shortlisting questions. Your answers to the shortlisting questions are the most important part of your application as they will be used in the shortlisting process to assess whether you meet the essential requirements for the role that are set out in the person specification and to decide whether you should be offered an interview. Before you start your application, please read our guidance here (CV guidance (brighton-hove.gov.uk) and Shortlisting questions guidance (brighton-hove.gov.uk)

Job location details - PLEASE READ

We would expect the majority of roles to be either frontline/office-based or working in a hybrid way (Options 1 or 2). By exception, and where there is a hard to recruit “professional” /specialist role for a fixed term temporary assignment, recruiting managers may consider allowing the role holder to spend the majority of their time working remotely from home, with only occasional attendance at the office required (Option 3 below). As the Council is still currently piloting its hybrid working arrangements and to ensure consistent and equitable treatment, such arrangements in Option 3 would need to be discussed and agreed in consultation with your HR business partner in the first instance.

Please confirm selection in the Internal notes section:

  • Frontline roles or those that have remained office-based throughout
  • Part office / part home
  • Remote working with occasional attendance in the office

(IMPORTANT NOTE – OPTION 3 ONLY TO BE USED BY EXCEPTION)

Additional Information

Your starting salary will be pro rata if the above position is term-time only. For part time applicants, where your working week is less than the council’s basic 37 hour week, contracted overtime rated pay will not form part of your working hours. This is because overtime rated pay is payable for hours worked in excess of the council’s basic 37 hour week. Your starting salary will be pro rata based on the basic annual salary elements of pay between £25,119 & £25,545.
