We manage a private sector supply chain that delivers essential services such as security guarding, maintenance, property and leasehold, construction, cleaning and facilities management. Many of these services are business critical and we cannot safely open our offices without them.

As PMO Project Support Officer, you will work closely with all teams within the Real Estates Projects and Investment Team (RREPIT), the supply chain network, and the Estates Programme Management Supplier (EPMS). Reporting to the HEO Assistant PMO Manager, you will work as part of a collaborative team to support the definition and maintenance of standards for project and programme management within DWP. The PMO will strive to standardise and introduce economics of repetition in the execution of projects and programmes. The PMO will be the source of high quality and timely documentation, guidance, and metrics on the practice of project and programme management and execution within DWP.

Key accountabilities

  • Admin Support – Support the PMO administrative support function by allocating project numbers to DWP projects and raising Purchase Orders (POs) to suppliers, managing the receipting of supplier’s payment applications (AfPs). Support the NEC4 contractual process by assisting with the raising Task Orders to Professional Services suppliers.
  • Controls & Reporting – Populate and collate pertinent data from REPIT and present to HEO Assistant PMO Manager for upwards reporting, ensuring a golden thread of connectivity between overarching DWP Estates Strategy and individual team plans.
  • Document & Information Management – Carry out all required administration pertaining to REPITs Project SharePoint filing system.
  • Specialist Support – Input data into REPIT’s Project Risk Register, tracking and monitoring risk actions with respective risk owners. Analyse REPITs portfolio of programmes and projects and detect any potential workstream clashes for discussion and resolution within the team.
  • Supply Chain Management – Support the SCM function by gathering pertinent KPI data from PACE> and other sources to manage supplier performance.
  • Centre of Excellence – Use MS Visio and Excel to develop and maintain REPIT’s end-to-end (E2E) project and programme delivery processes with input from key project delivery stakeholders. Manage all administration pertaining to booking training courses for REPIT team members. Manage all admin pertaining to staff onboarding and offboarding. Capture project and programme Lessons Learned to facilitate project delivery improvements across REPIT.
  • Secretariat – support key internal stakeholders through the facilitation of secretariat functions for all meetings held across REPIT’s workstreams, including the management of action points with respective action owners.
  • Assurance – Manage REPIT diary resource to organise key assurance meetings on behalf of the PMO Team to facilitate the assurance process.
  • Diary Support – Diary organisation and support for G6 Head of REPIT. Support the scheduling of all REPIT Team Meetings across all workstreams (WTP, SPI & LCW), managing the availability of required stakeholders.
