Port Agent

Our client, based in Portsmouth is looking for Port Agents to join their team on a permanent basis.
As a Port Agent, you will represent the interests of the shipowner or charterer (the Principal), while the ship is in port by providing assistance and/or advice as required. The Port Agent is responsible to the Principal for arranging, together with the port, a berth, all relevant port and husbandry services, tending to the requirements of the Master and crew, clearing the ship with the port and other authorities (including preparation and submission of appropriate documentation) along with releasing or receiving cargo on behalf of the Principal, ensuring that all appropriate legislations and regulations are observed.
THE SUCCESSFUL APPLICANT
* Ideal candidates will have a cruise background or previous port agency experience
* Full UK drivers licence is required. Please note: there will be travel involved within this role to locations such as Southampton, Dover, Poole and London.
* Excellent communication skills, both written and oral
* Willingness to work overtime (evenings, weekends and during peak periods)
JOB DESCRIPTION
* Achievement of written objectives as agreed with the Agency Manager.
* Book vessels in and out of the port, and arranging the pilot and tug boat services
* Provide information on the crew and any passengers to the local immigration authorities
* Ensure the ship’s documentation complies with international regulations prior to Customs inspection
* Prepare quarantine pre-arrival report (QPAR) which provides details on the crew, the ship’s previous route and any deaths or illnesses which may have occurred during the voyage
* Advise Customs of the ship’s arrival and report the cargo on board
* Logistics involved with provisions and fuel
* Provide stevedore’s /ship planner with the manifest which gives detailed information on the cargo to be handled
* Liaise with stevedores and terminal operators regarding the safe handling of containers, break-bulk and bulk liquids, and ensuring that the ship’s master is aware of shore requirements
* Organise crew changes, any associated immigration documentation and arrangements such as booking transportation and accommodation.
* Organise and provide Cash to Master.
* Handle ship services including repairs and maintenance.
* Carry out the instructions of ship’s Masters, Owners and Principals within the bounds of normal agency practice.
* Visit vessels in port under the control of the Department.
* Provide professional advice and support to existing and potential customers.
* Prepare Operational Reports.
* Prepare Disbursement Accounts
* Prepare Financial Voyage call Reports for Principles as required.
* Maintain high standards of professional and technical knowledge through training, teamwork, and an awareness of market developments.
* Comply with the Company’s trading standard terms and conditions, including agreed accounting and credit control processes.
* Promptly report any Health & Safety concerns that you may have to your Branch Manager or Operations Supervisor.
* Take appropriate action on any Health & Safety issues reported with due regard to the urgency and risk presented ensuring compliance with the Company’s Health & Safety policy.
* Comply with the Company’s information systems and management systems policies.
