Our client is seeking an experienced and enthusiastic individual to join and contribute to the team. The candidate will be client facing and must be proactive with strong-problem solving skills, have a good eye for detail and an aptitude for helping others. The full time, permanent role is based at our clients office in Epsom, Surrey. This is a fantastic opportunity to develop as a Practice Administrator with a view to a future managerial role.
Responsibilities will include:
Managing incoming correspondence, including telephone calls and receiving, logging and distributing emails, letters and client records.
Supporting colleagues with ad hoc practice admin tasks as requested.
General office management including management of utilities, services and office supplies.
Handling the onboarding procedures for new clients.
Updating job planning system to track client assignment and monitor deadlines including liaising with the management team on resource planning and managing client records.
Using professional software systems to maintain statutory registers and company secretarial records for clients, including liaising with clients to generate and issue documents for client authorisation and subsequent submission to government bodies to meet relevant statutory deadlines.
Involvement in firms finance function, including generating client invoices and credit control.
Personal Specification:
The ideal candidate will have previous office experience or experience in a similar role (not necessarily accounting sector).
Ability to work under pressure and able to prioritise tasks according to deadlines
Strong IT skills and ability to learn to work with a number of different finance and administration software packages.
Good oral and written communication skills.
Good interpersonal skills as this is a client facing role with a high level of direct client contact.
Ability to muti task and work to accurately, with an eye for detail.
Flexible and adaptable.
