Job description

We are working with an incredibly LOVELY HIGH NET WORTH FAMILY in Central London to source a fantastic Private PA to join their team. Based in their private family office, you will join a welcoming and driven team that work collaboratively to ensure the principal’s lives run smoothly at all times. This is a busy, fast-paced and demanding role which requires exceptionally high attention to detail, diligence and a ‘can-do’ approach to your work.

 

 

 

With a key focus on dairy management, you will be responsible for managing and overseeing the principal’s very busy diaries, including business meetings, personal appointments and social events, as well as overseeing and managing the diary for the children, including school trips, extracurricular activities and play dates. You will have experience managing a complex and everchanging diary, and be able to pre-empt any changes always ensuring there is a contingency in place.

 

 

 

You will be hard-working, driven and eager to exceed expectations. Professional and an ambassador for the principals at all time, you will also be highly personable and be able to build excellent working relations with the team and external stakeholders.

 

 

 

Usual working hours are from Monday-Friday, 9am-5:30pm, however flexibility to be responsive outside of these hours is essential. Additional benefits and perks are also available.

 

 

DUTIES TO INCLUDE:

  • Complex and everchanging diary management for multiple family members, ensuring all meetings and personal appointment are diarised accurately
  • Travel management, liaising with the wider team in regards to managing and booking travel plans
  • General administration for the team and the principals
  • Correspondence management; drafting email and invitation responses
  • Making reservations and booking all personal appointment for the principals
  • Supporting the wider team in busy periods and being willing to be flexible
  • Additional ad hoc duties as required.

 

ESSENTIAL CRITERIA:

  • Prior experience in a PA position, ideally working for a private family or within a private family office
  • Excellent attention to detail and a high level accuracy
  • Highly organised and able to prioritize effectively
  • Excellent diary management skills; the ability to manage multiple busy diaries effectively
  • Calm and unflappable in challenging situations
  • Tech-savvy and proficient with Microsoft Office programmes
  • Dictation skills
  • Professional and well-presented with excellent communication skills
  • An excellent team player who is happy TO SUPPORT the wider team in busy periods
  • Ability to work independently and have a high level of initiative
  • Discreet and able to manage confidential information effectively
  • Flexible to travel on occasion
  • Valid UK driving licence
