Procurement Operations Administrator
Hook, Hampshire

Here at Serco, we partner with governments to provide public services across Defence, Justice & Immigration, Transport, Health, and Citizen Services. We’re currently recruiting for a Procurement Operations Administrator to join our Procurement Operations Team within the Serco UK&E Procurement Team with business, systems, and data administration activity.
As our Administrator, you will ensure new supplier contracts and changes to existing contracts are executed in line with Serco’s Power of Attorney listing, with all appropriate approvals in place, signatures recorded in DocuSign and up-to-date contract documentation uploaded into the contracts database, maintain key Procurement registers (Preferred Supplier List, Business Critical List Register, and Supplier Contacts database) and support the Source to Contract Operations Manager with administration of PLRT process and governance.
Procurement supports the business by understanding business requirements and providing innovative solutions from the supply market throughout the business lifecycle that reduce cost, improve service and quality, and protect the business from risk. Procurement is responsible for managing all third-party supplier arrangements including sourcing and contracting and supplier and contract management to deliver competitive advantage to Serco.
Main responsibilities of the role include:
- Responsible for PLRT administration and savings assurance administration, including the coordination of agenda, meeting attendance, and capturing minutes and actions.
- Administration of supplier contract signature requests via the contract signature portal, obtaining Procurement, Legal and business approvals in accordance with the Serco Power of Attorney listing.
- Uploads signed contracts into the SMART Contract Database with allocation to the correct supplier vendor ID’s.
- Liaise with the P2P Buying Support Team to manage updates to supplier contract status in SAP.
- Coordination of rebate process and recovery of funds from suppliers.
- Promotes and maintains data accuracy and executes tasks to support effective data governance and actions corrections where required.
- Maintains preferred supplier status in the PSL SharePoint, ensuring alignment with SMART and Guided Buying.
- Maintains Business Critical Supplier status in the BCS SharePoint, ensuring alignment with SMART.
- Provides system administration for SMART, DocuSign and Procurement Reports, including monitoring of license requirements.
- Provides team administration support, including raising PO’s and use of the team PCARD.
What you’ll need to do the role:
- Demonstrates previous experience of working in a Procurement Operations, Finance or Customer Service environment with high transaction volumes.
- Working knowledge of contract management systems and processes is desirable.
- Ability to work methodically and following strict processes and guidelines.
- Enthusiastic and a quick learner with an aspiration to build a career in Procurement.
- Ability to work collaboratively with colleagues and independently as required.
- Organised with the ability to multi-task, prioritise and manage workload effectively and efficiently.
- Good attention to detail, especially when reviewing data in multiple forms.
- Effective communication skills with ability to present findings accurately and coherently.
- Good desktop computing skills and experience including MS Office applications with ability to learn Serco applications such as SMART, and Power BI.
