Hours:9.00am – 5.00pm Mondayto Thursday & 8.30am – 4.30pm on Friday
Duration: Available immediately for a period of up to3 months
Job Summary:
The Professional Support and Wellbeing team is responsiblefor the provision of a support service to junior doctors and dentists intraining including one to one support, mentoring, coaching and careerdevelopment. The Professional Support team are also responsible for thepre-employment processes for Junior doctors and dentists entering trainingprogrammes in Northern Ireland. This includes the management of the sponsorshipfor Junior Doctors and Dentists. The post-holder will assist in the delivery ofefficient, high quality human resources and Professional Support functions.
KEY DUTIES / RESPONSIBILITIES
1. To co-ordinate AccessNI checks for all junior doctors anddentists appointed to training programmes within Northern Ireland to includeprocessing of AccessNI checks.
2. To co-ordinate pre-placement health assessments for alljunior doctors and dentists appointed to training programmes within NorthernIreland to include liaising with occupational health departments.
3. To co-ordinate right to work checks for all juniordoctors and dentists appointed to training programmes within Northern Ireland,to include meeting with trainees to complete the right to work check.
4. To monitor the progress of trainees’ pre-employmentchecks to update Trust medical HR and NIMDTA training/employment departments.
5. To develop close working relationships with members ofthe NIMDTA training/employment departments, Trust medical HR teams and TrustOccupational Health departments.
6. To ensure that information systems are accurately andefficiently maintained within the department.
7. To act as first point of contact for queries to the PSWdepartment and to provide professional advice as required.
8. To provide administrative support in relation to therecruitment and selection of NIMDTA administrative and educator staff.
9. To assist with the management of new referrals to the PSWincluding arranging meetings with case managers, processing referrals, andfollowing standardised administrative processes.
10. To assist with HR processes to include the management offlexi sheets for relevant NIMDTA employees and dealing with queries whicharise.
11. To provide administrative support to PSW team meetingsas required.
12. To provide administrative support in relation toprocurement in accordance with policies and procedures.
13. To provide administrative support to the ProfessionalSupport Team including organising meetings, arranging travel, carrying out wordprocessing duties, managing incoming post and general email addresses.
Qualifications/Experience:
1a. Five GCSE’s (including GCSE English Language and GCSEMaths (Grades A* - C) OR equivalent qualification to demonstrateliteracy and numeracy

Higher Qualification
OR
1b. 18 Months relevant experience
2. One year’s experience working with Microsoft Office orsimilar
* Relevant experience is defined as working in an officeenvironment carrying out administrative duties such as preparingletters/correspondence, maintaining systems/databases, communicating withstakeholders
