This role is intially to cover maternity but could become permanent .

Responsibilities

Key Duties & Responsibilities

Operational

Client liaison and job management/prioritisation

  • Provide a single point of contact for the council and manage all works (BAU & project) based on customer priority and requirement.

Project Management

  • Plan project works and ensure materials are ordered ahead of the works taking place.
  • Ensure a clearly defined scope of work is prepared for each project and agreed by the client.
  • Where required Risk Assessments and Method Statements (RAMS) are produced and issued to the client and engineers.
  • Arrange necessary resource to complete the works. Perform delivery checks on all orders and ensure the goods are receipted via the SAP GRN process.
  • Obtain a customer sign off for each project and request invoicing.
  • Produce monthly MCR sheets for project work exceeding 30 days duration (PMO to provide support for MCR as required).

Management

  • Contract Management – Manage financial aspects of the managed service contract and ensure invoicing is up to date and in line with contract budgets.
  • Track third party contracts and highlight any that are nearing contract end to enable terms to be renegotiated.
  • Validate third party supplier invoices to ensure they are in line with agreed costs and GRN or reject as appropriate.
  • Provide reporting on contract financial performance each month alongside the current service performance report for inclusion in the SLT monthly performance report.

 

Key Accountabilities

  • Ensure works are effectively scheduled and meet or exceed SLAs as applicable.
  • Ensure project work is effectively managed and completed on time, on budget and to the required quality standards.
  • Ensure site Health and Safety compliance and escalate any immediate issues to line management.
  • Ensure robust financial management and reporting for the managed service contract.

Qualifications

For development purposes the following knowledge, skills and experience are required.

  • A confident and outgoing personality
  • Excellent written and oral communication skills
  • Well organised
  • Previous experience of project coordination/management
  • Good administration skills with sound working knowledge of business systems and mainstream applications e.g., Microsoft Office 365.
  • Excellent team player and relationship builder
