Job description

Workstream and Project Control / Reporting

  • Responsible for undertakingPMO support role forworkstreams, including:
    • Scheduling workstream team meetings and other key project meetings such as benefits review meetings, workshops, training etc
    • Taking and distributing minutes of key meetings
    • Updating registers
    • Maintaining the project document library and managing/administering access
    • Provide support to the Workstream Leads in co-ordinating staff and resources in workstream
    • Responsible for maintaining the project benefits register, ensuring that all benefits are planned, monitored and benefits realisation is tracked.
    • Responsible for drafting Exception Reports for workstreams when exceeding tolerances against time/cost/quality/scope.
    • Assisting the Project Manager and Project Director in mentoring other team members in project management best practices and disciplines
    • Facilitating communication and collaboration throughout the project team and stakeholders, ensuring a shared understanding of what needs to be done
    • Supporting the Workstream Leads in managing progress against the workstream/team level plans and time scales.
    • Leading workstream meetings as appropriate, recording actions and assigning owners to tasks.
    • Defining and overseeing the implementation of the project quality strategy, including any processes and templates
    • Monitoring the change control process across the project, ensuring changes have a sound basis and impacts are assessed at the relevant governance boards.
    • Responsible for reviewing timesheet data against planned workstream activity to track estimates vs actuals
    Providing ad hoc support with administrative tasks for delivery of the projec

Stakeholder Management and Engagement

  • Building strong, multi-faceted stakeholder engagement to ensure governance standards are implemented consistently within the project
  • Developing, building, and establishing positive working relationships with Workstream Leads, Subject Matter Experts, Suppliers and wider University stakeholders to facilitate effective progress reporting and ensuring risks and issues can effectively be reported when discovered.
  • Acting as an advisor by providing logical, sound, and interactive data analysis with recommendations to facilitate rapid decision making by project stakeholders
  • Acting as an advocate for the change whenever engaging with project team members or wider stakeholders day-to-day

Facilitate the execution of the change management strategy, providing governance support to the change management forums and supporting with task and progress monitoring
