Project Support Officer

XPS Pension Group is an award- winning Pension Consultancy with over 1600 staff in 16 office locations across the UK and our business continues to experience rapid growth.

This is a very exciting time for an experienced Project Support Officer to join our established, friendly and close knit IT team within our vibrant Perth office with flexible, hybrid working. XPS IT provides IT services to all XPS offices located across the UK and Ireland. We have an in-house Service Desk Team providing 1st line and infrastructure monitoring, an in-house IT Security Team monitoring the security of the network and servers and a primary and secondary data centre which uses Hyper-V servers.

The Project Support Officer role:

  • Supporting Team Manager in planning & co-ordinating the teams workload ; including regular BAU activities, project activities including setting-up and maintaining team documentation e.g. Plans, Status Reports, Risk and Issue Logs.
  • Documenting/following up actions with internal and external parties,
  • Facilitating meetings, agendas and meeting minutes.
  • Managing small change and implementation projects.
  • Producing management reporting across the administration application portfolio.
  • Co-ordinating responses for audits, etc

Due to the changing nature of the business, the job holder may from time to time be required to undertake other activities of a similar nature that fall within their capabilities. Occasional travel may be required.

Your Skills:

  • Experience using Microsoft Office 365.
  • Excellent organisational and planning skills.
  • Be proactive, with the ability to multi-task and respond to changing priorities.
  • Excellent interpersonal skills with the ability to communicate effectively to stakeholders of all seniority levels, from a range of diverse backgrounds and via a range of methods; including telephone, Instant Message, Video Conference and written communications.
  • Experience of being accountable, with the ability to work independently and where necessary, from home (without a team physically located around you).
  • Enthusiastic, positive, and flexible approach to work with willingness to learn.
  • Ability to create and manage documentation, paying attention to detail.
  • Able to work as part of a multi-disciplined team.
  • Good problem-solving skills.
  • Strong belief in adhering to deadlines and quality service.
  • Able to recognise the need for a customer focused approach to delivery both in terms of quality and exceeding customer expectations.

What will make you stand out:

  • Experience of working with pension administration.
  • Previous experience in project-based work is desirable. Particularly in the areas of IT system change.
