Job description
Post holder will be responsible for delivering comprehensive, high quality administrative support to the Quality Safety & Improvement Team, as part of the Corporate Quality Safety & Improvement Remit.
The Administrative Assistant will be expected to provide a support service to manage their daily schedule, including forward planning of workload, diary management, arranging meetings, co-ordinating and collating all relevant paperwork and undertaking general administrative duties as required. To routinely arrange meetings, print reports, letters and other documents, as requested by the Corporate Quality & Safety Facilitator and management and undertake all general administrative duties as required within the team. The post holder will be expected to attend and take notes in meetings. The post holder will be expected to manage their own workload and therefore act independently.

Provide a comprehensive administrative and secretarial service to the department.
To type / word-process routine documentation
To support with diary management of the senior Corporate Nursing team
Undertake general office duties i.e. typing, data inputting, filing, photocopying, facsimile, as deemed appropriate, in line with Health Board Policies and Procedures
Arrange and confirm appointments and meetings as required, as well as making appropriate arrangements e.g. hospitality, booking venues, equipment, travel accommodation etc.
Provide a secretarial service to meetings including preparation and distribution of agendas and papers
Respond both face to face and on the telephone to enquiries and/or queries in a friendly and courteous manner, recording all messages efficiently and cascading to the relevant member of staff in an appropriate and timely manner
Liaise and interact with other users and colleagues as and when required
Deal with incoming and outgoing mail
Work in collaboration with colleagues as part of a team
Input data onto spreadsheets
Create and maintain accurate staff records and confidential staff files
