Job description

The post holder will provide an efficient front of house service predominantly out of office hours and on weekends supporting all members of staff working within the Mental Health Department at the Royal Glamorgan Hospital Mental Health Unit.
  • Answer the telephone, deal with queries relevant to the service and/or take accurate messages.
  • Meet and greet Visitors, Staff and members of the general public with professionalism and curtesy at all times.
  • Receive, open, sort and distribute incoming mail and prepare outgoing mail on a daily basis.
  • Use computerised system to book appointments and complete associated processes.
  • Use Room Booking system to book meetings.
  • Process and update all relevant documentation where appropriate, using manual and computerised systems.
  • To undertake data entry as required, logging all admissions, discharges and periods of leave onto the WPAS (Myrddin) System within agreed timescales.
The ability to speak Welsh is desirable for this post; English and/or Welsh speakers are equally welcome to apply.

  • Communicate with patients, carers, all disciplines within the Mental Health Directorate and partner organisations, visitors to the ward as well as other departments within the UHB.
  • Able to use a variety of communication and interpersonal skills and the ability to foster good working relationships at all levels.
  • Will need to receive and transmit routine information requiring tact, persuasive and empathetic skills when dealing with distressed clients and relatives in person or by phone and be aware of the reporting system should an incident occur.
  • To undertake general reception duties, meeting and greeting patients and visitors to the ward, responding politely and courteously at all times.
