They are seeking to appoint a new member of our Administration/Reception Team who will cover three of our offices, in Hereford, Ludlow and Bromyard, covering sickness and annual leave. We are flexible as to the office that will be your main base but you will be required to travel between our other offices where required (travel expenses will be reimbursed). Therefore, you must have a full driving licence with access to your own vehicle, which you will be required to insure for business use.
The administration department is where all the mail, photocopying, binding, scanning and all other general administration tasks for the firm are performed. The successful applicant will perform a variety of roles including reception duties, data entry, filing and archive management and distribution of post.
The role would suit someone with some previous administrative or reception experience and who has the ability to demonstrate working in a busy environment. Good organisational and time management skills with a high attention to detail and accuracy are required.
Key tasks and responsibilities:
- To perform all filing associated tasks
- To ensure that outgoing faxes are sent in a timely manner and to collate and log incoming faxes
- To perform all tasks relating to mail distribution
- To ensure that all archiving process are managed appropriately
- To ensure that all photocopying and scanning is completed in a timely manner
- To ensure that all photocopying and scanning is completed in a timely manner
- To deal with any customer/staff enquiries in a prompt and efficient manner
- To perform administrative tasks as directed
- To perform receptionist duties as directed
- To perform a range of hospitality duties including:
o Setting up meeting rooms
o Arranging hospitality
o Organising catering
o Supervising and assisting at events
- To work as an effective team member and assist other staff in their work to ensure the smooth and efficient running of the department and firm.
