What will your essential responsibilities include?
· Greet and attend to visitors by providing excellent customer service as well as maintain the visitor log at the reception counter
· Answer & re-direct incoming telephone calls, maintain and update phone list
· Responsible for distribution of incoming mails, managing outgoing mails, organizing bulk mailing and courier service
· Responsible for administrative duties including data entry, filing, record keeping, off-site archiving, photocopying, arranging cheques deposit in the bank…etc.
· Handle admin system and submit COUPA claims system in a timely manner
· Assist in meeting room booking and ensure proper arrangement including table & chairs setup, video conferencing setup and food catering when needed
· Routine inspection to upkeep the tidiness of meeting rooms and pantry areas (including all pantry facilities like coffee machine and dish washing machine)
· Ensure and order sufficient supplies of pantry items and office stationery as required
· Assist in office, social and marketing events such as broker events, Townhalls and Christmas party
· Assist in packing marketing materials, logistics for events, manage corporate gifts and printing of business name cards
· Support other ad-hoc duties assigned by the Manager
You will report to the Operations Manager.

We’re looking for someone who has these abilities and skills:
· Tertiary education with 5 years’ receptionist experience in international firms
· Excellent customer service to internal & external stakeholders and visiting guests
· Good communication skills and work well with all level of staff in the HK office
· Good language skills in both spoken and written English and Cantonese
· Good organization and prioritization skills with a can-do attitude
· Good PC skills including MS Outlook, Office, Excel and PowerPoint
