About the Job
Are you looking for a new administration position where you can be part of a friendly and supportive team?
We are looking for a Receptionist/ Office Administrator to join our Sheffield team.
Within this role you will undertake the Company’s reception and administration function for our Sheffield office. You will ensure an efficient and effective service to the business is provided.
The role will include Reception duties, car hire bookings, document coordination and general administration support to the wider ITI team.
Salary: £22,308.00 pa

Summary of Roles and Responsibilities
You will:
Daily Tasks:
Receiving and directing incoming calls
Open and distribute incoming and outgoing post
Ensuring the general reception area is tidy and adhering to the clean desk policy
Maintaining the coffee machines in communal areas
Weekly / Monthly Tasks:
Downloading P11D reports through Nexus and recording hire car vehicles on MID Allianz for Insurance records
Reconciling all Trakotel invoices with correct cost codes and authorise payments for Purchasing
Checking on Stationary or Catering supplies and placing any orders as required
Distribution of milk on Mondays and Wednesdays in each canteen area
Weekly check and stocking up on the tea/coffee/sugar supplies in each canteen area
Reconciling Nexus (Car Hire) invoices with correct cost codes and authorise payments for purchasing
Monthly check on driver licence expiry dates for driver declarations – if any due to expire reminder emails sent to the drivers to submit their new driver licence details and processing forms as required
Ad-Hoc Tasks:
Receiving and welcoming visitors
Maintaining visitor logs via the visitor sign in system
Access control and the issue of visitor and temporary staff badges
Preparing refreshments and catering orders for visitors
Reconciling all hospitality invoices with the correct cost codes and authorise payments for Purchasing
Maintaining fire register with any new starters/leavers
Processing Business use of Personal Vehicle forms
Any general admin requested to support the business which may include; Converting files, document formatting, Creating forms/templates, Template training, general formatting, photocopying, stamping
Displaying Posters, signs or policies around the office and changing them when new documents are produced
Booking and managing meeting rooms
Annual Tasks:
Annual DVLA Check and emailing all staff to remind them that Driver Declaration Forms are due to be returned, checks to be made and spreadsheet updated with confirmation that drivers are covered – this task takes place in March
Archiving at the end of the Year in the Travel and Admin Inbox; creating new folders for the next year
Archiving at the end of the Year in the Reception, Travel and Admin folders in Reception drive; creating new spreadsheets to use for Travel, Driver Declarations, out of hours support spreadsheets etc
Summary of Requirements
We are looking for:
Previous experience working within an Administrator / role
Experience of Reception duties
Knowledge of creating Purchase orders
GCSEs grade A-C (or equivalent) in Maths and English
