Salary: £29,605 to £30,487 with progression to £32,982 per annum

The Role

 

We are looking for a Research Project Coordinator to join our team based in the Design Unit. We are a specialist centre with expertise in Mechanical Power Transmission Systems based in the Advanced Engineering Research Hub, in Walker.

The scope of the role is to support a portfolio of mechanical power transmission research and commercial projects.  To do this, you will work closely with colleagues in the team and the wider School of Engineering teams.  Therefore, we are looking for someone with demonstrable stakeholder engagement skills.

 

Reporting to the School Operations Manager, you will lead on the coordination and completion of projects as well as managing events.  We are keen to hear from people who can shape exciting and engaging communications via our websites and social media accounts.   It is important that you bring with you experience in financial reporting and proven track record in managing administrative processes.

Key Accountabilities

•    Coordinate the administrative services for the portfolio of research and commercial projects, working closely with other departments and services. Responsibilities include dealing with correspondence, visitors, organising travel, meetings, workshops and maintaining records

•    Represent the projects and be the first point of contact for Newcastle University as well as visitors and stakeholders external to the University

•    Assist with project planning. Manage and coordinate specific tasks and targets to meet project objectives and deadlines whilst working closely with the Director of the Design Unit to ensure projects remain on track and funders are kept informed of progress and changes as appropriate

•    Support the administration of Steering Groups, Advisory Boards, Stakeholder Engagement Meetings, and other formal bodies constituted to oversee project delivery

•    Collate, review, format and publish deliverables and other documents including reports required by funders and other stakeholders

•    Build and maintain relationships with project partners across multiple institutions and facilitate effective internal communications across project teams

•    Maintain financial records, progress against project deliverables and impacts and publicise project outcomes

•    Work closely with colleagues to ensure accurate record keeping and sound financial data management

•    Work with the Director of the Design Unit and Operations Manager to develop and implement a communications plan for the projects, including arranging events (workshops and scientific meetings)

•    Develop and maintain project and group websites, mailing lists and other social media channels, including Twitter and LinkedIn

•    Any other duties within the scope and general nature of the grade which may be required

Knowledge, Skills and Experience

•    Demonstrable track record in a project or senior administrative role
•    High level of organisational and time management skills, able to manage a range of tasks simultaneously
•    An excellent communicator both verbally and in writing
•    Working knowledge of financial record keeping and confidence in handling and analysing data
•    Experience of organising meetings and documenting action plans
•    Excellent IT skills with experience of Microsoft suite of programmes
•    Experience of planning projects or programmes of activities
•    Knowledge of social media and experience of organising and planning events

Qualifications
•    Educated to A level (or equivalent) or can demonstrate work experience in a similar role
