Purpose of the Role

Savills are seeking a dynamic and experienced Residential Mobilisation Coordinator to join our Mobilisation Team.

The successful candidate will play a crucial role in project management, coordination, and mobilisation of residential properties / portfolios / new developments into our managed portfolio. Also, de-mobilisation of properties / portfolios exiting Savills managed portfolio. The role will involve working in collaboration with Savills Residential Property Management Department, Residential Mobilisation Manager, Mobilisation Team, Client Accounting Team and Savills Central Operational Departments and external organisations.

As Residential Mobilisation Coordinator, you will support the Residential Mobilisation Manager and Residential Property Manager(s) to ensure the successful transition of newly awarded Properties, Portfolios and Developments into management.

The key objective of this role is to assist in seamless and smooth transitions in and out of Savills management. Nurturing great relations with internal stakeholders to ensure a structured and consistent mobilisation approach, which contributes to successful set up and mobilisation. Driving operational efficiencies, reviewing/implementing specific processes and procedures as required to drive consistency and best practice. You will be a reliable point of contact for the site-based employees and all Savills Teams.

Key Responsibilities

Main point of contact for Residential Mobilisation / de- mobilisation projects. Facilitate and coordinate the processes and projects from inception to completion.

Have/develop a strong understanding of Savills operational processes, systems, and departments.

Attend regular meetings where you will host and lead to track progress of key projects.

Use our Project Management software, trackers, and templates, keeping these systems up to date so all teams have full visibility of the status. Keeping key stakeholders up to date with progress and assist with the smooth transition of processes and information to other departments.

Highlight potential risks and issues in a timely manner to ensure mitigation / initiative-taking action.

To attend internal and external handover meetings as required to request and gather relevant information. Ensure handover of documents from external organisations at the point of mobilisation is sufficient and signed off by internal stakeholders.

Facilitate the setup of internal operational systems and migrations to ensure they are set up correctly and on time.

Facilitate smooth IT / Telephony / Broadband Migrations where required by collaborating with Savills IT Partner, the existing IT provider, and the RFM/Property Manager. Ensure all onsite employees / teams transferring into Savills are fully equipped from day one and there is no loss to services.

Facilitate the transfer of utility information to appointed utility consultant (Gas, Water, Electricity) ensuring accounts are set up correctly and on time.

Work with the Service Partner+ team to ensure continuity of maintenance services, onboarding of contractors and issuing of new contracts.

Coordinate the off-boarding process at the point Savills lose management of a property or portfolio. Work with internal stakeholders and departments to ensure efficient and timely handover of all relevant documentation and communications to external organisations and internal departments.

Identify opportunities to make operational efficiencies and savings via the introduction of best practice strategies of balancing risk, reward, and use of technology.
