Job description

Job Overview:
As a Sales Administrator at FirstLine Cars Ltd, you will play a crucial role in supporting the sales team and ensuring the smooth operation of the sales process. You will be responsible for managing administrative tasks, maintaining accurate records, and facilitating efficient communication between various departments to contribute to the overall success of the sales department.
Key Responsibilities:
Order Processing: Process vehicle orders accurately and efficiently, ensuring that all necessary details are captured and documented. Coordinate with the inventory team to confirm availability and delivery timelines.
Documentation and Paperwork: Prepare and manage all necessary paperwork, including sales contracts, vehicle registration, and financing documents. Ensure compliance with legal and regulatory requirements.
Customer Communication: Communicate with customers to provide updates on their orders, delivery schedules, and any other relevant information. Address inquiries and provide exceptional customer service throughout the sales process.
Data Management: Maintain and update customer databases, sales records, and reports. Keep track of sales performance metrics, customer interactions, and other relevant data to support decision-making.
Inventory Management: Collaborate with the inventory team to track vehicle availability, colors, trims, and options. Ensure accurate representation of available vehicles to customers and sales representatives.
Sales Support: Assist the sales team in preparing quotes, invoices, and sales presentations. Provide administrative support during customer meetings and test drives.
Coordinating Deliveries: Coordinate vehicle deliveries, ensuring that all necessary paperwork and documentation are complete. Communicate delivery schedules to customers and manage any last-minute changes.
Collaboration: Work closely with the finance department to ensure accurate and timely processing of financing and lease agreements. Collaborate with the marketing team to maintain up-to-date product information and promotional materials.
Problem Solving: Address any administrative or logistical issues that arise during the sales process, collaborating with various departments to find solutions and ensure customer satisfaction.
Process Improvement: Continuously assess and improve sales administration processes to enhance efficiency and accuracy. Provide suggestions for streamlining workflows and implementing best practices.
Qualifications:
• High school diploma or equivalent; bachelor's degree in business administration or related field is a plus.
• Sales Administration and Data entry for new and used cars
• Inventory control and advising
• Vehicle Taxation and New Car Registration
• Previous experience in sales administration, preferably in the automotive industry.
• Strong organizational skills with excellent attention to detail.
• Proficiency in using sales and customer management software.
• Effective communication and interpersonal skills.
• Ability to manage multiple tasks and prioritize work in a fast-paced environment.
• Understanding of legal and regulatory requirements related to vehicle sales and documentation.
• Problem-solving and decision-making abilities.
