Our client, a lovely school in North Essex is looking for an Office administrator to join their small office team to undertake financial, personnel, pupil-related, and other administrative work to ensure an efficient and effective administrative service for the school.
The total hours are 37 hours per week (8.00 - 4.00 each day, with 30 minutes for lunch, and 8.00 - 3.30 on Fridays.) It's also term time, plus 5 non pupil days, plus one additional week per year (40 weeks in school) for absolute clarity on hours and demands.
The role would include but not be limited to :
- Finance-based tasks - invoicing, placing orders, BAC payments, reconciliation of weekly payments made to the school, dealing with SEN, FSM, and pupil premium funding
- Ensure preparation of orders, check full receipt, and ensure payment of goods and services.
- Ensure all financial administration is carried out in accordance with appropriate LA and school financial regulations and policies.
Personnel
- Maintain manual and computerised personnel records
- Be responsible for all administration associated with the appointment of new staff including pre-employment checks and producing contracts.
- To be responsible for administering the DBS procedure in school
- Ensuring all volunteers have DBS clearance.
- Assist with the allocation of tasks to the Admin Assistant.
- To assist with the training of the Admin Assistant.
Admin
- To take responsibility for dealing with complex inquiries
- To draft correspondence and other documentation to the Headteacher's specification.
- Undertake project/research work as required.
- Develop and implement appropriate administrative systems/procedures as required in liaison with the School Business Manager.
- Take minutes as required.
- To ensure an effective file management system including word processing packages on the administration computer system.
- To produce a database of standard letters, forms, etc using standardised school format.
- To undertake other administrative and word processing duties as may be required in the main office and for the Headteacher.
- To assist with the office email account. Check regularly and forward emails as appropriate to other members of staff.
- Ensure emails are dealt with and responded to promptly. Use attachments and scanned documents appropriately.
