Our client, SKS PROPERTY MANAGEMENT LTD, has seen a tremendous growth in its business activities. SKS PROPERTY MANAGEMENT LTD is an experienced family-owned business and has been in the field of property for many years. Our client is looking for a Secretary to assume the duty of clerical and administrative support to optimize workflow procedures in the office. As a secretary, you will assist colleagues and executives by supporting them with planning and distributing information. The work is entirely office based and the need to travel outside the office is very rare. The ideal candidate will be the point of reference for all queries, requests or issues and will be an integral part of the company’s workforce. The work may impose deadlines suddenly, demanding flexibility and reprioritisation of workload as emergency work may arise anytime. The nature of the role is to support colleagues and projects rather than to take the lead on projects yourself and will be in constant communication with the Director of the company. Roles & Responsibilities
• Answer phone calls and redirect them when necessary.
• Manage the daily/weekly/monthly agenda and arrange new meetings and appointments.
• Prepare and disseminate correspondence, memos and forms.
• File and update contact information of employees, customers, suppliers and external partners.
• Prioritise, Support and facilitate work and complete regular reports.
• Maintaining the accounts and making sure the payments are received from the clients.
• Update the team with regards to latest rules and regulations on property laws.
• Communicate with the Accountants as and when necessary.
• Check frequently the levels of office supplies and place appropriate orders.
• Work flexibility is required as deadlines may impose due to urgent work.
• Update the CRM system to facilitate workflow and activity log of the clients.
• Make travel arrangements wherever possible.
• Document expenses and hand in reports.
• Undertake occasional receptionist duties.
Requirements and skills
• Proven work experience as a Secretary or Administrative Assistant with strong organisational skills.
• Ability to accept and understand instructions.
• Ability to manage pressure and conflicting demands and prioritise tasks and workload.
• Business or management, presentation skills and attention to detail.
• Oral and written communication skills with pleasant, confident telephone manner.
• Teamworking ability.
• Reliability and honesty.
• Tact, discretion and respect for confidentiality.
• Ability to plan your own work, use your initiative and meet deadlines.
• Familiarity with office organization and optimization techniques.
• Property law and regulations.
• High degree of multi-tasking and time management capability.
• Secretarial studies.
• Excellent written and verbal communication skills.
• Integrity and professionalism.
• Proficiency in MS Office.
• High school diploma or degree or HND in Secretarial studies.
Salary: £26650 to £30500.. depending on experience.
Location: Leicester, United Kingdom.
Working hours: A working week typically 40 hours, with the working day usually taking place between 10am and 6pm, Monday to Friday. Flexi-time is sometimes available depending on the organisation.
