Job Title: Senior Business Administrator
Location: Bank, Cheapside, St Pauls, London, Surbiton, Weybridge, Wimbledon, Clapham,
Salary: £45,000 - £65,000 (negotiable) + Benefits + Hybrid Remote

Evolve Recruitment are seeking to recruit a proactive, highly efficient and experienced Senior Business Administrator to join an established leading non-profit industry association. The role will be varied and challenging; you will be responsible for implementing the Association’s operational activities and ensuring that they run smoothly from day to day. The role sits within the COO team and oversees the smooth functioning of the Association’s core infrastructure, whilst taking responsibility for office administration.
Key Responsibilities:
- Facilities Administration: • Oversight of office facilities including liaison with managing agents. • Health & Safety, Fire Compliance & similar oversight
- Employee Administration: • Staff onboarding & offboarding • Management of staff benefits including coordination of Staff Healthcare & Pension administration • Staff training • Staff travel (including accommodation) • Co-ordinating external training schedules & internal speakers, etc.
- Financial Administration: • Payroll co-ordination • Payment of invoices to service providers and other service providers. • Invoice & accounting software management (Quick books) • Expense management. • Manage day-to-day financial reconciliations, including Association’s bank accounts. • Assist in key deliverables such as VAT. •
- Policies & Procedures: • Maintenance & management of internal & external policies & procedures • governance policies, including Articles, Objectives & Rules • IT & Infrastructure: • Ensure compliance with data privacy protocols
- Maintain relationships with key providers and third parties, such as server & network support including internal SharePoint.
- Ownership of annual billing cycle for the collection of membership & related fees
- Manage membership inbox - respond to routine queries and enquiries and escalate internally as required.
- Maintain member and general contacts-related information on company CRM (HubSpot)
- Board Secretariat
- Schedule regular & ad-hoc meetings
- Implement governance, policies & procedures.
- Produce meeting minutes and prepare company filings.
- Periodical support for Board election process
- General Office Administration
Personal Qualities & Skills
- Experience in office administration as well as financial control.
- Basic knowledge of financial services with experience of securities lending would be beneficial but not essential.
- Commitment to results; 'can-do' mindset with emphasis on accountability
- Strong communication and presentation skills, together with the ability to effectively manage stakeholder relationships.
- Exposure to and understanding of CRMs and accounting software (QuickBooks and HubSpot would be desirable)
- Knowledge of Office Suite
- Financial and business acumen
- Research and analytical skills.
- Interpersonal and customer-service skills
- Ability to work independently with limited guidance, but importantly work in a small team/company environment and adapt working practices effectively to the associated demands.
