About the Role:
The role involves incorporating system management and fleet co-ordination, to maintain and develop the Odoo system, to enable the management of the vehicle fleet and support the engineering activities for Vehicle Engineering.
It will involve being responsible for managing and maintaining the individual software systems for fleet usage, vehicle databases, the scheduling of vehicle maintenance and safety checks, and liaising with vehicle users, to ensure the efficient use of the fleet vehicles.
The role will require a front of house service, to ensure vehicles are compliant to the UK public road laws and control the Lotus vehicle permit applications and database. The fleet responsibility is to include the responsibility of the benchmark vehicles, attribute evaluation vehicles, and development and prototype vehicles.
A key part of the role is to ensure that that all relevant documentation is in place, including Fit for Test requests, vehicle safety checks, road tax, insurance, transport documentation and gate releases are in place, along with supporting the delivery of the engineering Standards and Test Procedures.
It is an essential role to ensure the efficient and timely use of the vehicle fleet. This is also an expanding role. Further responsibilities may be added as the role develops, including the logistics for vehicle swaps with other OEM's, coordinating the logistics and preparation of press vehicles and ordering and sourcing of vehicles.
Key Responsibilities Include:
- Liaising with the Test and Prototype Build engineers and external test facilities, to support the test and development activities.
- Generating and maintaining the fleet tracker database and vehicle schedules.
- Maintaining & developing the Odoo Fleet Management software.
- Managing and organising the vehicle usage and coordination.
- Organising and conducting the Odoo training for Lotus staff.
- Managing and organising all vehicle documentation and registration.
- Raising the end of life documentation and assisting with the scrappage.
- Having primary contact with IT and CEVT.
- Updating the Lotus Insurance database.
- Raising transport requests, gate releases, workshop requests & Fit for Tests.
- Organising & supporting the Ride & Drives.
- Raising and tracking Carnets.
- Organising and facilitating Staff Drive Experiences for feedback on Lotus products.
- Managing and organising the fleet maintenance requirements.
- Liaising with the engineering groups to determine what cars are required and when.
- Coordinating with the Lotus Production facility, for the delivery of vehicles to the correct build specification.
- Sourcing competitor vehicles for benchmarking purposes by purchasing, hiring, or exchanging vehicles with other OEMs.
- Being responsible for ensuring that all fleet vehicles comply with the UK road legalities - (Insured, taxed, MOT certificate and the use of Trade Plates).
- Being responsible for arranging all required paperwork for overseas usage (Insurance & Carnet’s).
- Collaborating with the maintenance teams to develop the fleet.
- Overseeing the execution of maintenance tasks and fleet usage.
- Gathering, analysing, and interpreting data related to fleet performance.
- Generating regular reports on key performance indicators (KPIs) for project review.
Knowledge, Skills, and Experience Required:
Essential:
- HNC/HND
- Excellent general knowledge of vehicles and the automotive industry.
- Experience of Fleet Management and logistics.
- An extremely methodical and organised approach.
- Excellent communication skills.
- Good written and spoken English.
- A High-level of PC skills, especially Excel/VBasic/Macros and MS Project.
- Previous Fleet Management experience in an automotive OEM environment.
- Confident and outgoing personality, organised & self-motivated.
- Driving License.
Desirable:
- Engineering Degree.
- Knowledge of Sports/Supercars.
- Automotive industry contacts.
- Knowledge of Fleet Management software.
- Language skills.
- Van/Trailor Driving License.
- An understanding of typical automotive OEM test and development processes.
