Job description

Remote Sec is a busy practice management support company providing secretarial, billing and collection support to a number of consultants in private medical practice.

This is a full-time Remote Position with full training and equipment provided.

We are looking for a highly experienced and professional individual to provide senior secretarial support to several consultants across a range of specialities.

Reporting to the Practice Manager, this is a challenging role which requires exceptional attention to detail and commitment. Due to the constant intensity and demands of the position you must be able to use your own initiative and have the ability to prioritise and manage your workload. The ideal candidate will also be highly motivated, efficient and reliable.PRINCIPAL DUTIES

  • Providing remote secretarial support for Consultants across a range of specialities.
  • Answer all calls and emails in an appropriate and timely manner.
  • Organise and prep consultants clinic, theatre and procedure lists.
  • Manage the Consultants diaries.
  • Gathering patient results and uploading onto the relevant system.
  • Schedule patient appointments, procedures, diagnostics and tests.
  • Liaise with other departments and facilities to ensure smooth processes.
  • Register new patients and ensure that all patient records are kept up to date.
  • Respond to all written and verbal queries in an appropriate and timely manner.
  • Communicate with patients, departments and other medical bodies.
  • Invoicing and take payment from self-funding patients as and when required.
  • Undertake any other reasonable duties as called upon to carry out by the Practice Manager.
  • Work together with the Consultants to effectively promote and increase referrals.

Requirements:

Excellent medical terminology and private medical secretarial experience (minimum 3 years)

  • Excellent English language including excellent writing skills and grammar
  • AMSPAR or equivalent qualification desirable
  • Knowledge of Practice Management software such as DGL, PPM, HeyDoc, etc, is advantageous
  • Very good knowledge and application of Word, Excel and Outlook
  • Excellent communication skills and telephone manner
  • Be able to demonstrate professionalism, courtesy, care and attention to detail at the highest level
  • Ability to work unsupervised and on own initiative
  • Adherence to GDPR regulations, patient confidentiality and data protection of information
  • To be able to prioritise workload, multi task and be flexible

Personal Attributes, Skills and Experience:

  • Highly motivated, efficient and reliable.
  • A willingness to work hard, including occasionally working out of hours to complete an urgent task
  • The ability to work with speed and precision to ensure that all daily tasks are completed.
  • Excellent diplomatic skills on the phone and in person, with patients, medical professionals and embassies
  • The ability to think ahead and use initiative, which involves knowing the Consultant's daily schedule, method of working, anticipating needs, and deciding appropriate method/time to contact
  • The ability to constantly re-prioritise and re-evaluate due to interruptions in the course of carrying out tasks

Hours of work: 40 hrs per week. Monday - Friday, 9am - 6pm.

Salary £28,000 - £32,000 dependent upon experience.

There will be a three month probationary period with regular reviews throughout.
