Job description

Reporting to the Region Manager, the Membership Support Officer supports members of staff and lead volunteers in Girlguiding North East England region in the areas of data management, compliance, membership growth and trainer support whilst providing high-quality customer service to volunteers and general enquirers.

Main areas of responsibility

· Develop clear, consistent processes for the collection, storage, and analysis of data, ensuring it is accurate and compliant with data protection legislation.

· Extract data from the membership systems to support the Region Manager in monitoring and evaluating progress against the region strategic plan.

· Provide guidance to volunteers and other staff members in the use of membership systems, including extracting data to support the management of guiding at a local level.

· Undertake ongoing housekeeping and occasional data cleansing of membership systems, to ensure accurate reporting.

· Main region contact with Girlguiding HQ for membership systems, the Data Network, and membership growth and retention initiatives.

· Region Data Protection Champion, attend networking meetings and provide advice and guidance on request.

· Manage the region’s compliance list, providing information and data for local commissioners, and to support the Chief Commissioner’s decision-making.

· Provide administrative support to the region’s Growth and Retention Lead Volunteer, including providing data and information, attending meetings, and participating in recruitment campaigns and projects.

· Support commissioners by providing membership growth and retention data and helping them with interpreting the data.

· Provide administrative support to the region’s volunteer Training Coordinator, including managing the paperwork for regional trainers and prospective trainers, and planning training courses.

· Undertake general office duties, including answering the phone and responding to general email enquiries.

· Provide administrative support to other region office staff members, including supporting the delivery of events, as required.

· Work as part of the region team to meet the outcomes of the region strategic plan, supporting colleagues and contributing ideas for continuous improvement.

· Respond to general enquiries from volunteers within the region, directing these to the relevant member of staff or lead volunteer, as appropriate.

 

Role specific requirements

To undertake this role, it is expected that you will have experience of:

· Working in an office environment/administrative function.

· Managing and maintaining databases, spreadsheets and/or membership systems to a proficient standard.

· Data extraction, analysis, and reporting to a proficient standard.

· Implementing data protection and GDPR requirements.

· Providing a good level of customer service, including answering general enquiries by phone and email.

· Using IT and communications systems.

· Providing a reception service at events, trainings and/or meetings.

· Day-to-day working with volunteers.
