Senior NHS Bookings Administrator | Administration, Customer Service | Full Time, 37.5hrs p/week | Permanent Contract | Impington, Cambridge | Free Parking | Excellent Benefits

Spire Cambridge Lea Hospital are looking to bring on a Senior NHS Bookings Administrator to join their established team on a full time, permanent basis located onsite at their hospital in Impington. The purpose of this role is to contribute to the smooth and efficient administration of the NHS patient journey and support the service delivered to NHS patients. To support the NHS Coordinator and be a local point of contact for the team, the wider hospital, and external contacts.

Duties & Responsibilities: 

  • Practice and maintain a high standard of confidentiality at all times and ensure Hospital policies are adhered to.
  • Coordinate receipt of booking/referral information from consultants, their secretaries or NHS Trusts and manage the eReferral system.
  • Address telephone and email queries in an efficient and timely manner.
  • Enter and process appointments and referrals into SAP and coordinate onward creation of patient medical file.
  • Communicate with patients to ensure suitable arrangements are made for their treatment pathway, and ensure all correspondence is received in time for attendance
  • Enter and process inpatient/daycase bookings into SAP and ensure correspondence of admission information is received
  • Liaise with NHS Trusts to assist local and national contract requirements to address waiting lists.
  • Monitor dates of appointments according to requirements of the contract 
  • Maintain Excel spreadsheets in order to document the pathway of patients transferred from other healthcare providers. Coordinate transfer of this information for providers when they request this information. 
  • Request and return medical notes from and to the appropriate Health Care Institutions as required
  • Assist the NHS Coordinator with the responsibilities for the Hospital in relation to contractual requirements and reporting.
  • To provide leadership to the NHS Team and be a local point of contact in the absence of the NHS Coordinator
  • Work as an integral part of the Inpatient Bookings or Outpatient Bookings teams as we undergo internal blending of teams. This will require receiving training in the booking and management of private patients in either inpatient bookings or outpatient bookings.
  • Actively participating in the promotion of good communication throughout the working environment.
  • To maintain confidentiality of all information acquitted with regard to patients, consultants and staff and not on any account disclose information about the affairs of the hospital, its subsidiaries or associates in line with Information governance, Data Protection and GDPR.
  • To present a professional, smart image at all times, ensuring adherence to hospital uniform policy.
  • Ensure that all mandatory training is completed and up to date.
  • Undertake any other tasks that reasonably fall within the general nature and level of responsibility for this post

What we are looking for: 

  • Previous experience in a customer service focused area.
  • Administration, contact centre or database management experience.
  • Ability to manage own workload including planning, organising, prioritising and problem solving
  • Experience of dealing with difficult customers/patients
  • Fully IT literate and a highly competent user of MS Office.
  • Excellent interpersonal and communication skills.
  • Ability to build and maintain effective working relationships, both internally and externally
  • Evidence of delivering and exceeding customer expectations, with the ability to handle difficult situations
  • Confident telephone manner being able to communicate with a wide range of customers.
  • The ability to work effectively as part of a team
  • High degree of accuracy, methodical. logical using a common sense approach to changing workloads
  • Innovative and proactive with an ability to work to tight deadlines
  • Ability to act with tact and discretion and appreciate the confidentiality implications when dealing with personal information
